Since 2015, City Bureau has brought journalists and communities together to produce media that is impactful, equitable and responsive to the public. Based on Chicago’s South Side, we serve civically engaged Chicagoans, with a focus on BIPOC neighborhoods. We also support organizations across the country that are working to improve civic media in their communities. We’re looking for an operations-minded person to help us run the underlying systems we use in our work.


The Operations Coordinator position is an entry level role with room for advancement, and is an opportunity to learn the ropes of operations and organizational management as part of a supportive and forward-thinking team.


As Operations Coordinator, you'll support the operations of City Bureau’s new office in Bronzeville. You’ll support our office build-out by researching and ordering technology, furniture, and office accessories. As this role grows, you’ll maintain logistics around external programming, like event/training rentals, supply ordering and other external vendor relationships. In addition, you’ll work closely with the Operations Manager to support City Bureau’s internal monthly financial reporting processes, carrying out invoice/contractor payments, bookkeeping, expense tracking, and fiscal sponsorship financial reporting processes.

This job is based in Chicago. While some of the work can be done remotely, most will be done in-person.


Responsibilities

Support day-to-day administrative tasks, including office space management, bookkeeping, and payment processing


Office management 

  • Coordinate solutions to staff-related office needs, including logistics for in person programming, staff meetings, equipment storage/use, room reservations, deliveries, and maintenance
  • Order, organize, and stock recurring office and kitchen supplies
  • Support office build-out by researching, compiling, and ordering technology, furniture, and office accessories
  • Maintain office logistics around:


Bookkeeping/Finance

  • Work with Operations Manager to help maintain internal monthly financial reporting process and external fiscal sponsorship financial reporting process
  • Carry out invoice/contractor payments, daily QuickBooks transaction booking, and Expensify tracking


Qualifications

  • At least 1 year of administrative support experience—non-profit experience is a plus but not required
  • Excellent communicator able to work across teams
  • Flexible learner able to quickly learn administrative systems
  • Detail oriented, excited about maintaining systems and be highly organized 
  • Familiar with basic spreadsheet software (we use the Google suite)
  • Understanding of and commitment to City Bureau’s core values, mission and vision
  • Must be able to work in person semi-regularly at our office in Bronzeville (36th and State St.)


Compensation and support

  • $44,000 annual salary. City Bureau uses a universal compensation that includes fixed annual raises currently set at 3.5%.
  • Health, dental, vision, and life insurance coverage
  • Employer sponsored 401k plans, with 100% employer match up to 4% of salary
  • $1,000 annual technology and work tools allowance
  • $1,000 professional development allowance
  • 15 days paid vacation, not including health days
  • 10 company holidays each year, adaptable to the holidays you celebrate
  • Flexible work schedule—City Bureau has a central office and requires occasional in-person meetings and work sessions. Outside of the work we actually need to see each other for we are flexible with schedules and employees work wherever they see fit.
  • A culture of intentional professional development and organizational learning; City Bureau staff hold regular share outs to learn from one another and hold regular community check-ins to connect and surface feedback on policies and practices.
