Who we are looking for:

We are looking for a high performing Quality Program Administrator with at least 3-5 years of related project coordination and operations experience to join our Clinical Affairs department. The selected candidate will be responsible for administering and coordinating all aspects of ASCO’s Quality Training Program and Quality Training Program Steering Group, to include practice recruitment, program outreach, applicant management, meeting planning, and execution of growth initiatives.

What you will do:

  • Administer and streamline the Quality Training Program (QTP) to include practice recruitment, data collection and tracking, timeline management, expense/invoice, budgeting and reimbursements, and the application, continuing education (CE), and session evaluation processes
  • Coordinate outreach for QTP participant recruitment in collaboration with functional teams
  • Serve as the main point of contact for program inquiries to include monitoring the QTP email inbox and responding to inquires in a timely fashion
  • Collaborate with appropriate staff to develop and oversee a QTP communications and marketing plan to include e-mail communications and other strategies to reach target audiences
  • Coordinate the meeting planning process for QTP sessions to include arranging space, supplies, logistics, budget compliance, and communication with participants, faculty, coaches, and host site if applicable
  • Assist in the development and distribution of reports and meeting materials for grants and QTP sessions, workshops, and steering group meetings
  • Administer the QTP steering group to include meeting coordination, timely materials and presentation development and distribution, and member rotation process
  • Coordinate and run meetings, onsite and via WebEx, and develop meeting agendas and materials
  • Maintain ASCO’s QTP website in collaboration with the Communications and IT departments to include ongoing content review, updates or changes, and content-related and functionality issues
  • Research potential grant opportunities and gather background information to present to leadership
  • Process and submit contracts, COIs, and other legal agreements, follow-up on contract status and coordinate approval with the Legal department
  • Create and document program procedures and guidelines


What you will need in order to be successful:

  • Minimum 3-5 years of program administration experience
  • A college degree in a health, science or education-related field preferred or equivalent related experience
  • Solid event/meeting planning experience; committee or task force coordination a plus
  • Proficiency with Microsoft Office applications; and an openness to embracing new technology
  • Experience using web conference systems; WebEx preferred
  • Superior communication skills; including oral, written, and listening
  • Excellent planning and organizational skills
  • Strong attention to detail, analytical with the ability to see the big picture and exercise judgment, and focused on quality control
  • Commitment to work within a team to meet timelines and deliverables with a strong focus on customer service
  • Ability to manage own time, priorities, and resources to achieve goals, and follow-through on tasks and projects
  • Ability to develop fresh ideas that provide solutions to all types of workplace challenges

Ideal candidates will also contribute:

  • Experience in healthcare quality or educational program development experience
  • Previous experience working in an association or nonprofit
