COIVD 19/Remote work:

WhyHunger is adhering to State and City guidelines, along with staff input, to protect employees during the COVID-19 pandemic. Candidates will be required to visit the Manhattan office at least once per week with one other person while learning the role, and will work remotely at all other times until at least September 2021. While in the office, it is expected that physical distancing and mask wearing will be practiced.

POSITION SUMMARY

The Finance/Admin Coordinator is WhyHunger’s primary contact for office related operations, such as coordinating arrangements for office meetings; handling the mail and deliveries, coordinating accounts payable activities, ensure the smooth running and upkeep of all office machines and IT equipment, and other administrative duties as assigned.

KEY RESPONSIBILITIES AND TASKS

- Verify approval, math, backup materials, and appropriateness of all vendor invoices, coordinate receipts of W9’s, and enter into QuickBooks and report back to staff on invoice status as requested.

- Ensure proper allocation to general ledger accounts and entry of appropriate posting dates. Prepare checks, make copies, and prepare and FedEx checks for signature. Scan and upload all copies into Quickbooks. File hard copies in vendor files in office.

- Audit and verify all expense and credit card reports according to company policy and enter into Quickbooks.

- Assist with preparation of 1099’s at year end.

- Reorder office supplies as needed.

- Update and maintain all vendor information and files.

- Issue invoices on request.

- Scan and distribute copies of all checks received and maintain electronic receipts log.

- Create reports from various sources of incoming receipts and allocate to appropriate general ledger accounts.

-  Assist with online and in-bank check deposits.

- Assist with the annual audit field work of pulling copies of checks, invoices, and any other documents requested. Coordinate the visual check of the memorabilia closet.

- Coordinate incoming and outgoing shipments and mailings.

- Maintain equipment by completing preventive maintenance; troubleshooting failures; calling for repairs. Manage telephone online system assignments and create HD meetings on request.

-Troubleshoot and resolve basic IT software/hardware, phone and office equipment issues and liaise with external IT consultant to maintain effective IT continuity.

- Coordinate office storage and ensure that office environment is clean, safe, well organized, and efficient.

- Provide backup and support to the Dr. Director of Finance and Admin as needed.

- Other duties as assigned.

- Have a working knowledge of mail processes such as postage machine, Federal Express and UPS.

- Demonstrate the ability to maintain good humor and a flexible attitude and approach towards assignments. and successfully operate under ambiguous guidelines.

- Exhibit initiative, responsibility, and leadership.

- Have the ability to lift approximately 15‐20 lbs.

STAFFING

The WhyHunger Finance/Admin Coordinator will report to WhyHunger’s Sr. Director of Finance & Admin.

SALARY AND BENEFITS

WhyHunger is committed to internal pay equity and livable wages. The salary range for this level position is $55-60,000 annually.
