Job Title: Program Coordinator & Executive Assistant

Organization: The Narrative Method

Location: Los Angeles, CA (hybrid in-person/remote)

The Narrative Method (TNM) is looking for a Program Coordinator & Executive Assistant! TNM is a Los Angeles-based 501(c)(3) nonprofit organization founded by marriage and family psychotherapist, Shari Foos. Our mission is to connect people everywhere to themselves and each other through sharing their creativity, their humanity and the stories of their lives.

TNM’s Program Coordinator & Executive Assistant reports directly to the organization’s Founder and Board Chair. They should be a self-starter and fast learner who fits seamlessly into the spirit of open communication, understanding, and collaboration that TNM promotes and fosters at its core. Empathy, creativity and a sense of humor are required.

JOB DESCRIPTION

Project Management

  • Implement and oversee project management practices to ensure efficient workflow and timely completion of tasks
  • Coordinate with stakeholders to ensure project milestones and deadlines are met
  • Utilize project management tools to track progress, manage resources and report on project status
  • Serve as the primary point of contact for all contractors and vendors
  • Coordinate schedules, deliverables and timelines with each vendor to ensure timely completion of tasks
  • Manage contracts and agreements, ensuring all terms and conditions are met

Communications Management

  • Manage the TNM website on Wix, including designing basic layouts for content
  • Continuously manage and update website and social media accounts
  • Interact with marketing, social media, design and other contractors as directed
  • Support the design of ad creative for paid social media campaigns
  • Manage the Customer Relationship Management (CRM) system to maintain up-to-date records of participants and other stakeholders
  • Ensure the CRM system is used effectively for communication, data tracking and relationship management
  • Assist in the planning and execution of campaigns and events

Programming Support

  • Manage correspondence within and outside organization; draft/edit materials (including announcements and reminders) and presentations for TNM participants and stakeholders
  • Schedule all events held through Zoom, manage Zoom issues, and facilitate and troubleshoot technology during online Salons
  • Ensure that all technological needs are calendared, facilitated and managed, and that social media and website feeds are up to date
  • Coordinate meetings, activities, distribution of documents for the entire team.
  • Manage logistics around live events and appearances
  • Support programs by tracking data and evaluating progress
  • Handle the needs of and inquiries from TNM event participants

Direct Support of the Founder

  • Working with the Founder to ensure all of her technology needs are addressed
  • Manage deliverables and tasks that facilitate the Founder's ability to effectively create and run programs
  • Assist with travel arrangements and logistics around speaking engagements.
  • Respond to inquiries on behalf of the founder

Board Management

  • Manage administrative board communications, meeting preparation and record keeping
  • Manage the preparation and circulation of materials in advance of board meetings
  • Help onboard new board members and assist the Founder in researching new potential board members

Administrative Support

  • Oversee the management of organizational databases, filing systems, contact databases, archival content and materials, and regular TNM events
  • Coordinate light accounting duties, including invoice management, with the business office
  • Other administrative, clerical, and project duties as needed

Skills and Requirements

  • Outstanding verbal/written communication skills
  • Proficiency in Zoom, Wix, Microsoft Office Suite (Word, Excel, Powerpoint, Outlook) is required; as well as experience and comfort with basic graphic design (Canva)
  • Ability to flexibly handle multiple tasks, projects, and priorities effectively and professionally
  • Experience with database management preferred
  • Detail-oriented and strong organizational and problem-solving
  • Preference given to those with nonprofit experience
  •  Commitment to TNM’s mission and belief in the value of TNM as a driver of change

Compensation: $65,000
