Help a Mother Out (HAMO) works to improve baby and family well being, by increasing access to diapers for families in need. We distribute diapers to families in need through a network of social service partners. We also advocate for the inclusion of diapers in the social safety net. As a small and mighty organization, we endeavor to work smartly and efficiently, without compromising on providing excellent customer service to our community of stakeholders. We are a California-based 501(c)3 nonprofit organization.


Summary

The Senior Program Manager (SPM) will report to the Executive Director and will be primarily responsible for managing all programmatic activities including partner and vendor relations, warehouse and shipping logistics, and monthly/quarterly data reporting. This position currently manages one full-time staff member, with an additional FTE planned in the next fiscal year.

Duties include managing all aspects of HAMO’s program operations including partner agency relations and communications, diaper distributions, inventory management, and forecasting, purchasing and logistics management, training, data management as well as program reporting and evaluation efforts. The SPM will further the mission of HAMO by focusing on enhancing partnerships and strengthening collaborations with HAMO’s partner organizations, government grant partners, and warehouse/shipping vendors. 

The SPM has a proven track record of being an excellent manager of projects, people and data. They have a self-starting attitude, meticulous attention to detail, can juggle multiple projects with competing priorities, and timely communicates with internal and external diverse stakeholders. They embrace social entrepreneurship and are passionate about the advancement of low-income women and children. They are also tech-savvy and possess strong interpersonal, communication, and project management skills. This position is 80% virtual and 20% coworking in Oakland, California.


Responsibilities

  • Manage program operations and activities including vendor management, partner relationships, purchasing, inventory management and forecasting, logistics, and partner agency relations and customer service
  • Respond effectively to the needs of partner agencies and government agency partners
  • Conduct regular training of staff of partner agencies
  • Manage data transfer activities from partner agencies to HAMO database
  • Conduct annual site visits with diaper distribution sites
  • Manage monthly order writing to vendors, weekly diaper distribution logistics, and the integrity of the inventory management system
  • Produce monthly program metrics reports for financial and government grants reporting
  • Manage logistics activities, including warehouse/shipping vendors and partner communication, and inventory management of in-kind donations
  • Manage front line program staff (current 1 FTE, addition FTE planned in next fiscal year)
  • Respond to telephone, email, and personal requests for information from the public, donors, constituents and partner agencies on a regular basis

  • Assist with the organization’s community outreach, thought leadership, or annual fundraising events 
  • Other activities deemed appropriate by the Executive Director that will promote and enhance the mission of HAMO.
  • Act as an ambassador in the community by effectively communicating how HAMO serves the needs of low-income families in the community
  • Occasional public speaking 


Qualifications 

  • B.A. or B.S. required; MPA a plus
  • Proven ability to successfully manage people, projects, and data
  • Excellent organizational skills and incredible attention to detail
  • Proven communication (both oral and written) and interpersonal skills 
  • Strong problem solving, prioritizing, and decision-making skills
  • Ability to build relationships at all levels
  • Excellent follow-through and accountability
  • Self-starter, with the ability to work independently and as part of a collaborative team
  • Proficiency in Microsoft Office Suite, Asana, Dropbox and Google Apps
  • Intermediate to advanced skills in Microsoft Excel
  • Bilingual speaking proficiency a plus
  • Commitment to HAMO’s mission and vision


Position Requirements

  • Strong desire and proficiency to work via virtual office (80/20), with flexible work hours
  • Attend weekly planning meetings with the Executive Director and other team members
  • Ability to travel within the San Francisco Bay Area (inc. Alameda, San Francisco, San Mateo, Santa Clara, and Contra Costa counties)
  • Ability to lift and carry up to 30 lbs., occasionally 
  • Communicate with team members and external stakeholders on a regular basis via email, phone, and in-person
