Finance and Operations Manager

The Arab American Association of New York (AAANY) was founded in 2001 by

prominent and active members of the Arab American and Arab immigrant community

to respond to the needs of low-income, recent Arab immigrants in NYC. AAANY

formed not even a month before the attacks of September 11th, 2001, as a one-room,

volunteer-run direct service agency. After 9/11, AAANY stepped into an advocacy

role, recognizing that the onslaught of surveillance tactics, hate crimes, and

community isolation would not be solved by direct services alone. Since our inception,

AAANY has supported Arab and Muslim communities to build collective power and

access critical services.


AAANY, a 501(c)(3) registered nonprofit organization, is currently accepting

applications for employment for a Program Coordinator that will serve to support

several aspects of the organization.

This mid-level position will report to the Director of Capacity Building and Programs,

as well as work with all departments within the organization. The Coordinator will be

primarily responsible for completing financial and accounting tasks; processing grant

applications and communicates with grantees; organizing fundraising appeal mailings

(hard-copy & electronic); maintaining accurate donor records; supporting in

correspondence with donors; and event planning and coordination.


Finance, Accounting, camp; Administration

  •  Pays bill and helps maintain the day-to- day finances of the organization;
  •  Works closely with our CPA to provide documentation based on
  • payments/expenditures and files accurately and neatly;
  •  Closely monitors budget/spending and finds ways to save money and increase
  • value;
  •  Support CPA in records income and expenses via QuickBooks;
  •  Maintain bank records;
  •  Support CPA with the following: monthly accounting reconciliations, ensures
  • accuracy of all financial records;
  •  Coordinates with the auditors and provides all information needed for the
  • annual audit;
  •  Support the CPA in generating financial and administrative reports;
  •  Prepares payroll bi-monthly and handles staff health insurance benefits;
  •  Provide other support to Senior Management and program staff.

Operations tasks:

  • Oversees facilities maintenance and upgrades
  • Oversee office logistics (supplies, mail, IT, work with outside vendors, procurement, tracking of purchase orders, maintaining records of orders and inventory)
  • Support office management protocols (space management, equipment management)
  •  Ensure both AAANY and satellite location sites are upkeep
  • Managing the emergency funds and the social programs
  • Preparing order of adequate supplies for programs and general office operations after getting the approval from the supervisor
  • Maintain and troubleshoot office equipment and technology 
  • Manage meeting spaces and schedule usage of space
  • Interfacing with building management, and ensuring the space remains safe, clean, and workable for two separate offices.

Grants

  • Handles all correspondence relating to the quarterly grant applications for
  • AAANY’s and maintains organized and up-to- date files;
  • Prepares grant submissions for Senior Management’s review;
  • Communicates decisions to grant applicants and follows up for the
  • disbursement of funds; 
  • Prepare and execute contracts with the supervision of the Director of Capacity
  • Building

  • Fundraising/Communications
  • Helps draft fundraising appeal letters, publications, newsletters and other
  • material as requested;
  • Supports in creating marketing and outreach material design, layout, and edit
  • review;
  • Manages the design and production of fundraising material; sends appeals via
  • postal and electronic mail;
  • Maintains donor records through the donor management database;
  • Sends timely thank you and tax receipt letters;
  • Facilities/Office Management

  • Stock and order adequate supplies for programs and general office operations
  • Maintain and troubleshoot office equipment and office technology
  • Manage meeting spaces and schedule usage of space
  • Support our reception area
  • Act as primary facilities manager, interfacing with building management, and
  • ensuring the space remains safe, clean, and workable for two separate offices.
  • Some administrative tasks including collection of employee timesheets and
  • light bookkeeping.
  • Managing a basic office management budget
  • Managing janitorial staff at both sites
  • Consulting with HR Director in regards to building compliance, acquisition,
  • and design.
  • Proactively troubleshooting aging technology and building needs.
  • REQUIREMENTS:

  • Implement quality programming and advance organization’s mission;
  • Strong marketing, public relations, and fundraising experience with the ability
  • to engage a wide range of stakeholders and cultures;
  • Strong written and verbal communication skills; a persuasive and passionate
  • communicator with excellent interpersonal and multidisciplinary project skills;
  • Action-oriented, entrepreneurial, adaptable, and innovative approach to
  • completing work;
  • Ability to work effectively in collaboration with diverse groups of people;
  • Passion, idealism, integrity, positive attitude, mission-driven, and self-
  • directed;
  • Bachelor and Master’s degree required with a minimum of 3 years of
  • professional experience in the NGO field;
  • Excellent computer and IT skills;
  • Proficiency in Microsoft Office (especially Excel);
  • Basic proficiency in graphic design software, particularly Adobe, indesign, etc;
  • Ability to update AAANY’s website;
  • Knowledge of accounting software such as QuickBooks is an advantage;
  • Basic understanding of budgets, accounting procedures, and strong number

skills;

 Must be highly organized, detail-oriented, punctual, meticulous, and a strong

team player;

 Strong spoken and written English skills, Arabic language fluency strongly

preferred;

 Understanding of or experience working with the Arab American, Arab

immigrant, Muslim communities and refugees is an advantage;

Benefits

Full-time employees also receive 15 days of paid vacation , also six personal days, eight sick days, fifteen paid holidays, as well, AAANY will be closed for 1 week for summer and winter recces. In addition, The employee is expected to contribute 4% of their pre-tax income to their monthly premium. AAANY will cover the remainder of the individual premium. Any additional insured will be paid by the employee. Only employees who opt in to AAANY’s group policy are eligible for dental & vision coverage.
