The National Theatre

The National Theatre of Great Britain (NT) is probably the busiest theater in the English-speaking world. In its three theaters on the South Bank in London the NT presents an eclectic mix of new plays and classics from the world repertoire. The National endeavors to maintain and re-energize the great traditions of the stage and to expand the horizons of audiences and artists alike. Since its first performances in 1963 the National has staged well over 800 productions and currently has seven or eight productions in repertory at any one time.


American Associates of the National Theatre

The American Associates of the National Theatre (AANT) is a 501 (c)(3) non-profit organization, based in New York, that promotes and supports the work of the National Theatre in both Great Britain and the United States. Each year, the AANT grants up to $4 million dollars to the National Theatre, providing essential funding which supports the NT’s mission to develop world-class productions with affordable ticket prices, while reaching out to artists and audiences of the future through extensive education programs. Working closely with the Director of Development and the Development Manager, the Head of Events is one of five full-time staff members, who are supported by a Special Events Assistant and Development Coordinator as well as a Board of Trustees, Honorary Council and the National Theatre team in London. The AANT events program is tailored to National Theatre productions, activities and appeals in the US, providing valuable opportunities to steward and cultivate donors, as well as raise funds. The core events program currently includes:


·        NT Live private screenings in New York (up to eight a year), San Francisco (3-4 a year) and Los Angeles (annually) – pre-screening reception and talk from special guests

·        NT Live screenings at cinemas in New York, San Francisco, Los Angeles, Washington DC and Chicago – ticket allocation and occasional informal drinks receptions

·        Annual London Theatre Trip – four-day cultural tour for up to 40 AANT donors

·        Insider Events – held in the homes of donors or at private venues, tailored to specific NT productions or appeals

·        Fundraising Gala events, when appropriate opportunities arise, such as the transfer of a National Theatre production to Broadway (Network with Bryan Cranston upcoming gala on January 11, 2019 at the Rainbow Room).

·        Annual Drama Dinner

·        Annual Members’ Breakfast with NT Director in New York, Biennial in San Francisco

·        Annual Corporate Reception with celebrity guest and NT representation to thank current sponsors and welcome prospective sponsors or similar event

·        Members nights for Off-Broadway NT productions (The Jungle at St. Ann’s Warehouse beginning December 4 and The Lehman Trilogy at Park Avenue Armory beginning March 22)

·        Wall Street Journal partnership in the US including NT Live ticket allocations in Chicago, San Francisco, Washington DC, Los Angeles and New York City as well as Wall Street Journal members’ evenings at live NT productions on stage in the US.

·        NT production US tour events for corporates and donor groups in major cities as needed (talkbacks, group bookings, etc)


Purpose of Job

·        To be responsible for and coordinate all AANT events including high profile fundraising galas

·        To create interesting, relevant and high-quality events and ensure their smooth running

·        With the Development team, AANT Chair and Board, to be responsible for generating new event ideas for current and prospective donors

·        To monitor and control costs and where possible raise funds from AANT events  

·        To build relationships with current and prospective AANT donors to ensure continued support and secure new gifts


Duties and Responsibilities

1.      Attending, coordinating and managing a calendar of events including galas, throughout the year.

Tasks include: creating and reconciling event budgets; working to secure in-kind support and sponsorship to reduce expenditure; preparing detailed schedules; organizing logistics - liaising with the NT team, venues, suppliers and event hosts or ambassadors; managing base of special guest artists and liaising with them; preparing Save the Dates, invitations and other printed/emailed materials; managing events on Tessitura fundraising database; compiling event evaluation reports  

2.      Working closely with the AANT Board, Events Committee and event hosts to plan the events program and to maximize fundraising potential where appropriate

3.      Donor cultivation and membership support:

Engaging AANT donors and prospective donors through the program of events and cultivating these relationships, working with the Director of Development and Development Manager

Coordinating with the Development Manager to ensure strong attendance, prepare guest lists and biographies and deliver effective follow up after events, to ensure that current and prospective donors are cultivated for future gifts

Processing RSVPs and making ticket bookings for AANT donors in the absence of the Development Manager

4.      Serving as point person for the corporate relationship with Wall Street Journal

5.      Managing partnerships with other nonprofits or organizations for select events

6.      Managing the AANT’s Special Events Assistant

7.      Liaising with the Development Department of the National Theatre in London

8.      Carrying out any other duties as requested by the Director of Development and AANT Chair


Person Specification

·        Bachelor’s degree and minimum 4 years of event management experience in theatre or a related field, such as company management 

·        A proven track record of both small and large-scale events planning and delivery

·        Experience of managing staff for delivery of events

·        Proven experience in maintaining external relationships with vendors, plus high net-worth individuals and board or committee members

·        Systematic approach to events management, with excellent attention to detail

·        Outstanding and proven organizational ability

·        Excellent writing skills, including experience of writing copy

·        An appreciation of the arts and theatre

·        Ability to multitask

·        Ability to remain calm under pressure

·        Computer literate - good use of Microsoft Office, especially Word, Excel, and Outlook (Tessitura or other fundraising database experience a plus)

·        Ability to use discretion with high profile guests

·        Valid Passport


Contract:  Full Time

Hours: 35 hours per week from 10am – 6pm, although additional hours will be necessary in order to fulfil the requirements of the post. Must be available to work occasional weekends and evenings. Travel required to San Francisco, London and Los Angeles. Time off in lieu can be taken for these hours.

Salary: $55,000 per annum. Paid bi-weekly.

Vacation: 15 days in the first year, increasing with length of service thereafter

Probationary Period: 3 months

Notice Period: 2 months (1 month during probationary period)

401k: Provided after successful completion of 3 month probation period – employees can opt to contribute up to 6% of basic pay and the AANT will make a matching contribution
