Duties/Responsibilities:



 



●       

Answers

and transfers phone calls, screening when necessary.



●       

Welcomes

and directs visitors.



●       

Maintains

filing systems as assigned.



●       

Retrieves

information as requested from records, email, minutes, and other related

documents; prepares written summaries of data when needed.



●       

Responds

to and resolves administrative inquiries and questions.



●       

Coordinates

and schedules travel, meetings, and appointments for managers or supervisors.



●       

Assists

with calendar management, confirming meetings and schedules interpreters as

necessary.



●       

Prepares

agendas and schedules for meetings.



●       

Records

and distributes minutes or other records for meetings.



●       

Manages

inventory, purchasing, office supplies, PPE, and other miscellaneous office

needs and coordinates maintenance of office equipment.



●       

Maintains

a system for recording expenses and completes purchase requisitions.



●       

Performs

other related duties as assigned.



●       

Retrieves

mail for designated supervisors and distributes accordingly.



●       

Assists

with special events.



●       

This

position requires some flexibility with scheduling, as you will

occasionally be required to work nights and/or weekends for events as

needed and travel if necessary.



 



 



 



Required Skills/Abilities:



                                                                     



●       

Excellent

verbal and written communication skills.



●       

High

level of skill in writing professional reports and letters.



●       

Excellent

interpersonal and customer service skills.



●       

Proficient

in Microsoft Office Suite, Google Platform, or related software.



●       

Excellent

organizational skills and attention to detail.



●       

Basic

understanding of clerical procedures and systems such as recordkeeping and

filing.



●       

Ability

to work independently.



 



Education and Experience:



 



●       

Associate’s

degree required; Bachelor’s degree in related field preferred.



●       

Three

to five years of experience in a clerical or administrative role.



 



Physical Requirements:



 



●       

Prolonged

periods sitting at a desk and working on a computer.



●       

Must

be able to lift up to 15 pounds at times.



 



Work Environment



            

                                    



Busy, fluid, multiple

sub-organizations/departments office and education campus environment. 

Flexibility to work longer hours as needed to meet the needs of the company.

As a new Administrative Assistant your

performance will be evaluated at 3 months, 6 months and 1 year and at 1-year

intervals thereafter.
