DEFINITION:

Under the direct supervision of the Post-Award Manager, the Post-Award Specialist serves as an important resource providing guidance and oversight on issues related to the fiscal, administrative and regulatory management of grants, contracts and sponsored programs from award receipt through closeout. This position works closely with the principal investigators, project directors, and administrative assistants, among others, to provide post-award services in managing grants and contracts.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

  • Participates in award set-up meetings with the principal investigators and pre-award Sponsored Programs Office to gain a full understanding of the criteria and requirements necessary to manage each award. Ensures award is set up properly in the Common Financial System (CFS).
  • Monitors ongoing award financial activity of grants and contracts to ensure that reporting requirements and deliverables are met.   
  • Ensures that direct costs charged to grants and contracts are available, allocable and allowable under sponsor guidelines and Uniform Guidance. 
  • Interprets CFS reports to internal departments and prepares queries or special reports upon request.
  • Prepares and participates in orientation workshops to educate principal investigators, project directors, and administrative assistants about Corporation policies, forms, and procedures.
  • Investigates and resolves errors and discrepancies and alerts Grants Accountant to make the necessary corrections if needed.
  • Monitors cash balances and other cash management duties including drawdowns, invoices, and follows up on outstanding receivables on grants and contracts. 
  • Monitors end dates and provides feedback to project directors, principal investigators, agency representatives, other Corporation departments and the Sponsored Programs Office regarding status of accounts and availability of funds. 
  • Assists with agency and accounting audits of grants and contracts.
  •  Serves as the back-up to the Grants Accountant as needed.

Minimum Qualifications:

Equivalent to an Associate’s degree, preferably in Accounting, Business Administration, or a closely related field AND two years of progressively responsible professional accounting experience OR a combination of education and experience which provides the required knowledge and abilities. A Bachelor’s degree in a related field may be substituted for up to one year of the required experience.
