Job Description

Campus Administrative Assistants are responsible for supporting the principal and the campus in administrative matters. Under the general supervision of the campus principal, the Administrative Assistant performs varied clerical and secretarial work functions and other related work as required. This includes responsibility for fostering excellent relationships with all of the school's constituents -- parents, teachers and students alike -- and requires outstanding organizational and interpersonal skills.


Essential Functions:

  • Completes front office receptionist duties including: answering and directing phone calls, greeting and monitoring visitors to the building, and supporting student and teacher needs
  • Coordinates communication with families via print materials, phone, and electronic means; collaborates with faculty and staff to write monthly newsletters; coordinates translation of documents
  • Coordinates and takes responsibility for logistics of state testing and internal benchmark tests
  • Coordinates and takes responsibility for the logistics of student application, enrollment, and re-enrollment
  • Maintains and reports accurate records of employee absences within the employee information system (ADP)
  • Develops, maintains, and publishes campus calendar
  • Manages student records within the student information system (Power School) in accordance with FERPA (Family Educational Rights & Privacy Act) and HIPAA (Health Insurance Portability and Accountability Act) laws and requirements; ensures data entry is in compliance with state reporting mandates
  • Assists in student scheduling; maintains full class schedule within PowerSchool and is responsible for changes to student schedules and teacher class assignments throughout the year
  • Facilitates the quarterly printing of progress reports and report cards; supports teachers to ensure grades are submitted as well as maintains historical grades within PowerSchool
  • Assists with data entry for the continued use and upkeep of campus information within PowerSchool
  • Coordinates CORI process for employees and volunteers, including parents
  • Collaborate with business office, IT department, and HR department to meet the needs of campus
  • Schedules meetings, appointments, and events in collaboration with and/or in support of principal
  • Provides principal with regular reports pertaining to student achievement
  • Develops teacher and class schedules for distribution; schedules duties, substitute teaching periods, etc. to ensure smooth functioning of the school day

Knowledge, Skills and Experience Required:

  • At least three years of office experience required, preferably in a school or similar office setting
  • High School diploma or GED required; Bachelor's degree preferred
  • Commitment to Prospect Hill Academy's educational mission, vision, and values
  • Commitment to working with students and families from diverse backgrounds with diverse profiles
  • Excellent written and verbal communications skills
  • Proven customer service skills in a diverse environment
  • Strong computer and database management skills, including expertise in the use of all Microsoft Office Suite and Google Suite products
  • Experience with PowerSchool strongly preferred
  • Fluency in Haitian Creole, Spanish or Portuguese preferred
  • Detail-oriented with a strong ability to multi-task
  • Thrives in a dynamic environment and sees their work as integral in creating a school where students are engaged, inspired, and successful
  • Ability to confirm to the highest standards of professionalism in all manners
  • High degree of flexibility and responsiveness in the face of challenge

Physical Requirements:

  • Frequent standing, walking, reaching with hands and arms to stoop, kneel, or crouch
  • Frequent lifting and/or moving up to 10 pounds and occasionally lifting and/or moving up to 25 pounds
  • Occasional use of hands to handle or feel
  • Occasional climbing or balancing
  • Regular speaking and hearing; specific vision abilities include close vision, distance vision, color vision, peripheral vision, and depth perception
