The Senior Clergy Administrative Assistant supports the Senior Rabbi on a full-time basis and will provide administrative support and coordination for lifecycle events, Sabbath and Festivals administration, worship services, pastoral attention and work, congregational classes and programs, BHS committees, communal and interfaith programming, rabbinic and professional conferences, and cantorial and bar/bat mitzvah tutorial needs. The position also supports the scheduling and communications needs of our Cantor. This position provides substantial congregation relational management; therefore, it is also expected that some development administration work will be included in the scope of the position.

• Bachelor’s degree or equivalent
• 5+ years in an administrative support position
• Knowledge of synagogue life and Jewish ritual practice is a plus but not necessary
GENERAL DUTIES: Maintain track of the Senior Rabbi’s calendar and appointments, including meetings with clergy, professionals, lay leaders, members, potential members and community leaders.
Schedule meetings and prepare paperwork for all Bar/Bat Mitzvah students, wedding couples, baby naming/bris couples, funerals, minyan services and unveilings. Assist Senior Rabbi in assigning clergy for life-cycle events and Chavurah (Saturday morning bible study) coverage.
Assist in coordinating High Holy Day Honors schedule with lay leadership and Main Office.
Coordinate arrangements and travel for Senior Rabbi’s external engagements, guest lectures, conferences, national commissions, and meetings out of town.
Screen all calls, open and sort mail, prepare correspondence, order books and ritual items, prepare agendas for meetings, create reports, complete check requests, track charitable giving to Discretionary Fund, prepare set-up forms and room reservations for Clergy classes and handle special projects as directed by the Senior Clergy.
Assist Cantor and families with use of scheduling software for students in bar/bat mitzvah tutoring. Assist Cantor with communication to and from Adult & Jr. Choir members. Place orders for sheet music/supplies for Cantor and accompanist as necessary. Provide coordination and communication regarding in-house and joint musical events in larger community.
Serve within the life cycle staff rotation for Saturday morning bar/bat mitzvah services throughout the year, providing on-site administrative assistance and troubleshooting as needed.
Assist in the implementation of the development program once underway, providing administrative support and follow through to the Executive Director and any Development Consultant which might be retained by the congregation. Produce necessary reports and communications from internal databases and create/track correspondence associated with developmental efforts.
HOURS: Monday through Thursday, 10am-6pm; Friday 9am-5pm (shorter in summer); Saturday or Sunday hours will be required at times, in lieu of weekday hours.
