POSITION SUMMARY

The Events Manager will be responsible for helping envision, manage, and lead events at the Trust for cultivation, stewardship, and solicitation purposes. The Manager will also oversee the contracted vendors and events production and management companies hired to handle event logistics or specific details. The Manager will serve as a dedicated member of the Philanthropy Team reporting to the Director of Communications and will coordinate with members of the Trust team to fully execute the events to help achieve desired outcomes for cultivation, stewardship, and solicitation.

RESPONSIBILITIES:

A.     Lead existing events for cultivation, stewardship, and solicitation:

  • Develop event plan with goals, measures of success, timeline, and benchmarks for tracking outcomes. 
  • Build relationships with and manage co-chairs and host committee members, while helping recruit new members as needed annually.   
  • Lead the planning, selection, and strategies to secure for the speakers, including honorees, keynote speakers and master of ceremonies.   
  • Oversee planning and selection of key stakeholders and dignitaries that receive complimentary invitations to the event.  
  • Manage deadlines and key benchmarks for the team and contracted vendors.  
  • Manage event budget and coordinate with Vice President of Philanthropy and Executive Vice President for tracking and accountability, as well as to meet the expense to revenue ratio target. 
  • Collaborate with Marketing & Communications team for event collateral materials (event marketing materials, invitation, event web pages, event program, etc.) and marketing/media plan. 
  • Track and enter guest registrations and response status in Salesforce database. Perform database hygiene regularly to create new contact records and maintain contact and account records. Produce regular registration reports with accurate and up to date information.  
  • Develop regular status briefings for senior management and reports as requested for meetings of the Board of Directors.   

B.     Lead the design and development of new events:

  • Work collaboratively with senior management to creatively develop the plan and business model for new events based on revenue team needs for unique events to meet cultivation, stewardship, and solicitation goals.  To include: 
  • Lincoln Memorial 100th Anniversary 
  • German American Friendship Garden Unveiling 
  • History, Heroes, and Hope Awards 2022 
  • Monumental Conversations 
  • Monumental Evenings

C.    Manage the design and execution of a few other small events and meetings as needed.

  • Board of Directors Meeting and Related Events 
  • Council and Committee Events 
  • Memorial and Monument Anniversaries and Milestone Events 

QUALIFICATIONS & EXPECTATIONS

  • Bachelor’s degree. 
  • A minimum of two years’ experience in event management or equivalent. 
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Salesforce. 
  • Excellent verbal and written communications skills.  
  • Exceptional attention to detail. 
  • Positive attitude and enthusiasm/dedication to teamwork. 
  • Ability to present information concisely and effectively, both verbally and in writing.  
  • Ability to organize and prioritize work.  
  • Ability to work independently with little supervision. 
  • Excellent interpersonal skills.
