Job Description: The Administrative Coordinator supports administrative and physical functions for Luther Place, a spirit-filled progressive Lutheran congregation located at Thomas Circle in DC. This person must be proactive and well organized with close attention to detail; a strong writer, flexible, and able to manage multiple activities with minimal supervision. Combining human warmth with great competence, the Administrative Coordinator will interact with Luther Place members, tenants, vendors and contractors and with a dynamic set of community organizations who partner with Luther Place to serve the physical and spiritual needs of our community.

Organization Description: Luther Place Memorial Church was founded in 1873 “as a memorial to peace and reconciliation following the Civil War.” Today, it overlooks Thomas Circle in Northwest DC, where 14th St, N Street and Vermont Avenue meet.

To maintain its vibrancy within a dynamic, multicultural neighborhood, Luther Place conducted a strategic plan. Within that plan, five pillars were identified—worship, justice, hospitality, community care and spiritual growth. Central to Luther Place’s culture is wide participation, constant listening, and aligned actions supported by an understanding of God’s presence and leadership.

Responsibilities of the Administrative Coordinator:

  • Work closely with and support the Senior Pastor and Director of Liturgy & Communications 
  • Attend weekly staff meetings
  • Answer Phones; relay or respond to incoming requests
  • Manage Tenant relations
  • Solicit and organize responses to tenant needs; maintain tenant records of leases, rental use and other property use records
  • Organize and Track Tenant leases and legal documents
  • Manage Building Space Use for community and groups other than tenants
  • Maintain Space Use Calendar (outside groups and regular community users)       
  • Troubleshoot and mitigate Internet/Printer and other business telepathy or WIFI Issues
  • Regularly update and organize the Parish Maintenance spreadsheet  
  • Collaborate with Pastor or Property Committee to schedule Vendor Appointments;
  • Grant vendors and repair contractors’ access to the relevant building space
  • Maintain records of vendor and contractor work orders and purchase orders; provide electronic copies to the Luther Place Treasurer and Property Committee
  • Maintain electronic and physical building access materials (keys, and codes)
  • Sort mail daily   
  • Organize and arrange payment weekly for Invoices (email, paper,; track payments with Bookkeeping service staff        
  • Review donation records and maintain donor database:  Generate and distribute bi-annual Giving Statements to all donors
  • Organize a checklist of common, regularly used cleaning and hospitality supplies.  Carry out bulk orders of supplies as needed (arranging for delivery to the church)
  • Handle contract arrangements for church Compost/Recycle/Trash management 
  • Manage correspondence for Luther Place via email, drafting and responding to inquiries promptly      
  • Manage/respond to inquiries from the “Info@...” Luther Place email inbox and Facebook messenger inquiries
  • Maintain membership records through a minimum of bi-weekly updates to the member database
  • Maintain timesheets and/or assist in timesheet entry and submission from Luther Place independent contractors
  • Provide administrative support for large events organized by Luther Place Committees or mission teams, as needed       
  • Other duties as assigned by the Senior Pastor

Technical Skills:

  • Proficiency with Gmail, Google Drive, Google Calendar, Google Forms required  
  • Ability to support other electronic platforms (TEAMS, Slack, etc) a plus
  • Proficiency with Microsoft Word, PowerPoint, Excel and other common applications required
  • Proficiency with Zoom, Facebook, Instagram, and YouTube preferred

Employment Type and Salary Range:  Part-Time Permanent; 20-25 hours per week, $25/hour

Schedule: Tuesday-Friday on-site. Remote review & response to urgent emails once between Saturday and Monday
