TATU PROJECT


TATU Project is a non-profit organization that facilitates equal and sustainable development for the rural community of Msitu wa Tembo and Londoto in Northern Tanzania. We address community needs and build effective solutions through active collaboration with members of the community and relevant stakeholders. One major principle of our organization is to work directly with the members of the community and create the projects with a long-term vision and sustainable structure. In shaping the project, one must value local knowledge, listen to the community’s vision and develop the idea together with the population. THE ROLE

Assist the General Management of TATU Project to achieve operational and organizational goals through program and administrative support.

Ensure administrative processes are in place for all following administrative tasks. Create processes, write procedures, present to the General Manager for approval and implement.

Empower and train the relevant staff in their administrative responsibilities to alleviate the General Manager.


The Assistant General Manager (AGM) will oversee several projects and departments within the organization. This includes managing the Water, Environment and AFYA (health) program. Supervising village relations and supporting the Communication and Fundraising department and the Research and Development department. PROGRAM SUPERVISION

Some of the responsibilities include

·      Weekly meetings with the team

·      Be the strategic/ideological/value compass for difficult questions at project level

·      Make sure planning, activities and objectives are written, agreed upon and clear

·      Make sure deadlines are realistic and are met

·      Ensure M&E reporting cycles are respected by project managers/coordinators

·      Ensure the regular reporting cycles are respected by project coordinators

·      Ensure good communication internally and externally for our programs

·      Challenge the team in their approach in terms of strategic, long term thinking and sustainability

·      Regular field visits and intervention when needed



ACCOUNTING AND FINANCE

·      Ensure financial deadlines are met

·      Receive, verify and consolidate project accounting

·      Process, consolidate and verify HQ Admin accounting

·      Collect all data, receipts and justifications, check the physical money for each project

·      Balance accounts and approve of the monthly cash count for all accounts

·      Send accounts and checklist to General Manager for final check and validation

·      Monitor the bank accounts and request transfers when necessary

·      Handle transfers and payments for administrative requirements and projects

·      Follow up on budgets and make sure that deviations are flagged, communicated and reported

·      Monthly payroll and tax requirements

·      Consolidate budget on a biannual cycle



HUMAN RESOURCES

·      HR development:

o  Team building, motivation/coaching, trainings for staff development

o  Communicate major events and project successes, give room for project sharing

o  Work on professionalizing and empowering the team (especially the permanent staff)

o  HR conflict management/resolution and reporting to General Manager


·      HR Planning:

o  Discuss needs and openings with General Manager to launch necessary recruitment and clarify profile needed

o  Ensure recruitment process is followed and keep General Manager informed on progress/concerns

o  Volunteer induction and full supervision of VISA process

o  Make sure that all volunteers have an initial realistic work plan from their Project Manager

o  Ensure project goals are clear for volunteers and their responsibilities are also clear


·      HR Management:

o  Monthly payroll – payment, payslips, filing, tax payments, accounting

o  Keeping track of leave

o  Ensure proper compliance with our HR Policy

o  Contract management

o  HR admin system – filing, updating and organizing



ADMINISTRATION


·      Management of the house/office:

o  Ensure headquarter infrastructure and working space is running smoothly


·      Legal compliance, in collaboration with General Manager:

o  Ensure we are updated on legal obligations

o  Focal point with our accountant/auditor to monitor legal compliance and ensure deadlines are respected by the NGO

o  Collect all receipts and proofs that the NGO fulfils all legal obligations

o  Filing system – digital and physical

o  Keep General Manager informed


·      Administration

o  Maintain and update files and documents when necessary

o  Other administration tasks as required



SELECTION CRITERIA


It is essential for you to have:

·      An undergrad degree in either International Development, International Relations, Community Development or a relevant degree

·      Excellent oral and written communication skills

·      Proven time management and organizational skills

·      Innovative and analytical thinker, with an ability to find solutions to complex problems whilst incorporating the values of the organization

·      Leadership and management skills

·      Cultural sensitivity

·      Good computer skills MS office applications

·      Ability to work well in a team and autonomously

·      A proficient level of English skills, writing and oral

·      Passion and values that align with TATU Project


It is desirable for you to have:

·      Experience working/volunteering and living overseas

·      Experience working/volunteering with a NGO

·      Experience in project management

·      A good of grasp of accounting and finance concepts

·      Good social skills in order to be in contact with partners and to work with the team



CONDITIONS


-      The minimum time commitment is 12 months, preferably more

-      Stipend is provided, and VISA fee covered

-      We can provide you with accommodation, terms to be discussed

-      The volunteer house and office is located in Moshi, Tanzania

-      The working week will mainly consist of office hours with
