Position Summary 

Openhouse seeks a dynamic, even-tempered, and organized Operations Coordinator who is passionate about providing superior customer service with professionalism and respect. The position encompasses day-to-day office oversight, clerical support, inventory control, health and safety, and emergency preparedness. The OC works closely with the Operations Manager—and with the receptionist and volunteers—to provide a friendly and efficient environment for community members, volunteers, staff, and guests. Additionally, the OC coordinates with service vendors to ensure Openhouse facilities are maintained to an exceptional standard.  

The position is full-time (1.0 FTE), non-exempt, and has no direct supervisory responsibilities. The Operations Coordinator reports to the Operations Manager. The work schedule is expected to be Monday-Friday; evening and/or weekend hours will sometimes be required. The actual schedule is subject to change. 

 

Essential Functions 

1. Oversee front desk reception area and reception coverage 

  • Greet people warmly and provide an overall welcoming environment 
  • Maintain a positive, empathetic, and professional attitude toward all who enter establishment, determine purpose of visit, and direct as appropriate  
  • Answer incoming calls in a manner consistent with the mission and values of Openhouse:  answer questions, provide information, take messages, route and log calls  
  • Maintain organized and presentable front desk and lobby area 
  • Perform accurate opening and closing procedures for the buildings as directed  

 

2. Provide administrative and operations support to community members, volunteers, staff, and visitors

  • Assist community members in navigating the facilities; ensure guests are connected with the right personnel; escort visitors to their destination   
  • Research, write, update, and publish changes to administrative documents as needed  
  • Coordinate with the Operations Manager to design and implement building operations manual for the offices and the senior activity center 
  • Utilize online tools to facilitate workstation and room reservation processes for shared spaces 
  • Directly support office onboarding processes for new employees; acquaint new staff with operations procedures, resources, and buildings 
  • Provide IT software and hardware troubleshooting and user assistance, including elevation to technical support vendors 
  • Prepare physical meeting spaces as requested; return spaces to standard setup 
  • Provide direct support to senior management team as needed 

 

3. Support a clean, safe, and productive office environment

  • Support inventory controls, monitor office and janitorial supplies inventories, and complete purchase order recommendations 
  • Receive, distribute, and stock inventory deliveries 
  • Maintain office machines, provide user training and support, and liaise with service providers  
  • Coordinate with the Operations Manager and external vendors to ensure maintenance continuity across buildings and facilities (e.g. janitorial, pest control, waste management) 
  • Coordinate with the Operations Manager to implement emergency preparedness procedures 
  • Identify strategies to improve services, systems, and processes 
  • Maintain kitchen cleanliness and organization including restocking supplies and monitoring appliances 
  • Perform custodial maintenance daily to ensure relative tidiness; clean spills and countertops; remove obstacles; empty recycling, compost, and garbage as needed 
  • Put out and retrieve recycling, compost, and garbage bins for pickup as specified 

 

4. Manage inbound and outbound mailing and shipping

  • Administer postage on demand system; print and log staff postage usage  
  • Retrieve, sort, and distribute daily inbound mail and deliveries  
  • Coordinate, prepare, and post outbound mail and shipments 
  • Counsel and assist staff with outbound mailing and shipping needs 
  • Support additional organizational mailing and shipping priorities as needed  

 

5. Other duties as assigned

 

Requirements 

  • Passionate and knowledgeable individual with experience working with older adult populations, administrative or office coordination, or related experience  
  • Strong experience with Microsoft Office suite, including Word, Excel, PowerPoint, and Outlook, and the ability to quickly learn software programs and online databases and tools  
  • Observant with an acute attention to detail 
  • Customer service experience preferred 
  • Strong communication, organizational, writing/editing, and time-management skills 
  • Ability to think critically and creatively to generate new ideas, projects, and systems 
  • Able to recognize and affirm—and/or willingness to learn—that LGBTQ older adults live at intersections of race, ethnicity, class, culture, HIV status, sexual orientation, gender, gender identity, spirituality, and ability  
  • Understanding of—and commitment to—social justice, and a desire to support and advance a personal, as well as an organizational, culture of diversity, equity, and inclusion 
  • Active, informed, and engaged participation in Openhouse’s intentional trainings in anti-oppression and anti-racism work 

 

Physical Requirements 

Physical skills and ability to perform work that requires sitting, walking, stooping, bending, and lifting up to 35 pounds. 

 

Compensation  

Pay rate is $22.50-$24.50/hr and the position includes health, dental, vision, Long-Term Disability, and Employee Assistance Program benefits. On the first day of the quarter following one year of service, this position is eligible to participate in a 401(k) with agency match. Robust PTO accrual rates.
