Description & Responsibilities:

This is a part-time, non-exempt position. Estimated 10-30 hours a week depending on the time of year. Ideal for professionals who want to supplement their income.

The Programs Assistant is responsible for handling and scheduling all requests for ING presentations, lectures, panels, and seminars and for distributing ING materials to speakers.

Specifically, the Programs Assistant’s responsibilities include work in the following areas:

Scheduling:

  • Scheduling presentations using Salesforce: responding to incoming requests from clients and coordinating with speakers to fulfill requests for presentations and panels
  • Maintaining accurate spreadsheet records of presentations, panels, speaker files, survey forms, photos

Impact Reporting:

  • Administering appropriate impact and survey forms for presentations and panels
  • Providing end-of-year reports on presentation and panel output

Communications:

  • Working with the communications staff to report on past and publicize future events on social media, the ING website, and other channels

Speaking (Optional):

  • Delivering presentations for the Islamic Speakers Bureau (ISB)
  • Facilitating panels on a wide variety of topics for the Interfaith Speakers Bureau (IFSB) and Intercultural Speakers Bureau (ICSB)
  • Representing ING at community events

The Programs Assistant will work directly with other ING Staff and volunteers to implement the aforementioned.

Skills Requirements:

The Programs Assistant should have demonstrated success in the following:

  • Use of Salesforce and Microsoft Excel for scheduling and evaluations. Experience with WordPress and Vitrium Security a plus. Knowledge of advanced Excel a huge plus
  • Excellent written and verbal communication; strong attention to detail
  • Excellent organizational abilities for performing in a multi-task, sometimes fast-paced environment and prioritizing work requirements

Education/Experience Requirements:

The Programs Assistant should hold at least a bachelor’s degree and have professional administrative experience and have a strong commitment to ING’s mission.

Reporting Relationships and Location:

The Programs Assistant will report to the Sr. Programs Manager and work remotely with attention given to Pacific Standard Time hours.

Salary:

Commensurate with experience.
