The Executive Assistant is a part-time, entry-level position providing administrative and meeting support for the Association of Children’s Museums (ACM). The position reports directly to the Executive Director and works with other ACM staff. Specific responsibilities include, but are not limited to, the following:

Office Support Responsibilities

·        Responsible for front desk management, including managing guests, incoming call management, monitoring of general email inbox, and distribution of mail.

·        Tracks and maintains petty cash and SmarTrip card.

·        Administrative office management, including ordering of supplies, check deposits, reconcile membership dues and conference fees, and organize office celebrations.

·        Coordinate agendas for leadership and staff meetings.

·        Serves as second point of contact after Director of Finance and Administration to Executive Director and service providers.


Executive and Board Support

·        Provides general administrative support to Executive Director, including calendar management, grant management, travel logistics and general office communications.

·        Provides administrative support for ACM Board of Directors.

·        Coordinates board meeting calendar and committee meetings.

·        Maintains online communications management tool; post meeting notes and materials, document and follow up on action items.

·        Takes minutes of board meetings and prepares board packets.

·        Assists Executive Director with other office duties as assigned.

IT Support

·        Serve as first point of contact with staff on low priority software and hardware situations; liaise with vendors for higher priority problems.

·        Assist vendors with network or connectivity issues.

Annual Conference

·        Staffs ACM on-site registration desk and manages attendee check-in and on-site registration.

·        Trains staff and volunteers on registration desk procedures.

·        Works as part of all-staff effort to pack and unpack conference materials and on-site tote bag stuffing.

Qualifications

·        Outstanding communication skills (speaking, writing, editing).

·        Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and database systems (any).

·        Knowledge of web content management software (Joomla preferred) and social media tools.

·        Prior experience in a similar organization a plus.

·        IT/data entry experience is a plus.

·        Ability to work under time constraints and handle multiple tasks with competing priorities.

·        Team-oriented, flexible and able to work well with people internally and externally.

·        Bachelor’s degree or equivalent work experience.

·        Ability to travel (less than 10% of total time) required.
