Overview

The Director of Operations is a critical member of the Brooklyn Defender Services (BDS) operations team helping to ensure everyday operations at BDS are seamless and efficient. The Director of Operations is responsible for all aspects of facilities management and other crucial aspects of BDS administrative operations e.g. supplies management, events operations, and transportation vendors. The Director of Operations is skilled at managing competing priorities and is not afraid to roll up their sleeves. They will partner with the COO to build and manage processes. The Director of Operations must be patient, customer service oriented, and exhibit an uncanny sense of urgency with the ability to proactively problem-solve.

Responsibilities:

• Create and maintain a culture of exceptional customer service for Operations

• Define the “services” that Operations provides to internal customers at BDS and establish standards for delivery of those services (e.g. response times).

• Identify, plan, and implement initiatives that enhance service delivery

• Develop and implement operational systems (processes, technology, staff development and training)

• Manage all aspects of the quality of the BDS facilities including security, inventory management, procurement, cleaning, maintenance, inspections, upgrades, or capital improvements

• Ensure BDS facilities are outfitted and reconfigured to comply with COVID-19 health and safety workplace guidelines

• Monitor and reinforce staff compliance with BDS COVID-19 workplace policies and procedures

• Own and maintain office floor plans and coordinate office moves. 

• Develop, post, and maintain general upkeep guidance and instructions where necessary. 

• Manage BDS janitorial and maintenance staff along with third party vendors 

• Manage other operational services/processes e.g. transportation services used by staff

• Support the COO to manage the facilities and operations budget. 

• Prepare and maintain accurate records of all financial transactions and process them in a timely manner. 

• Develop and implement plans for workplace safety including safety drills and building inspections, as well as maintain check-lists and document drills and visits.

• Promote and maintain a positive office climate by ensuring that all interactions with staff and clients are prompt, efficient, and helpful.

• Recognize problems and challenges and report them promptly with options for solutions 

• Establish and maintain professional and cooperative working relationships with all stakeholders: clients, building security, landlords, and building vendors

• Perform additional duties and projects as assigned

Qualifications

• Bachelor’s Degree from an accredited college or university preferred

• Minimum 5 years of previous operations/administrative experience managing facilities and other aspects of non-profit operations 

• Self-motivating, flexible and open to feedback

• Highly organized, analytical, collaborative and thoughtful in approach.

• Able to multi-task, and recognize priorities.

• Excellent communication skills both oral and written; ability to provide corrective feedback to staff members.

• Excellent ability to thrive in a fast paced environment.

• The ability to successfully manage a variety of projects varying in scope and urgency

• An exceptional ability to respond well to feedback.

• A do-whatever-it takes attitude including a willingness to work occasionally on the weekend or in the evening.

• Certification in OSHA training a plus
