Healing Justice is a small, dynamic, and rapidly growing national non-profit organization that uses restorative justice and justice reform to address the individual and collective harm caused by wrongful convictions. We serve all who have been directly harmed in these cases: crime victims, survivors, and their families, as well as the innocent who were wrongly convicted and their families. We also offer programs for others who have been affected by these cases: jurors, judges, police, prosecutors, victim advocates, and other justice and social service providers. POSITION DESCRIPTION:

The Operations Associate will be responsible for administrative, financial, and human resources functions that support Healing Justice’s programs and activities. This person will play a critical role in managing the day-to-day effectiveness of Healing Justice. This is a unique and rewarding opportunity for an experienced operations professional desiring to work part-time while also serving people in need and making substantial change in the fields of social and criminal justice. 

ESSENTIAL JOB FUNCTIONS:

Administrative:

  • Assist with general operations of the organization, which includes file maintenance, ordering supplies, coordinating timesheets, opening mail, and responding to inquiries.  
  • Update, maintain, and manage internal policies and procedures, and ensure organizational adherence.
  • Update and maintain all mailing lists and databases.
  • File and maintain all non-profit licenses.
  • Enter donations into the donor management system.  
  • Prepare thank you letters and other donor correspondence.
  • Schedule and record minutes for required meetings.
  • Handle logistics for program events, including coordinating travel, lodging and overseeing vendors.
  • Coordinate logistics for rental of retreat facility.

Financial:

  • Assist with functional expense allocations and categorizing financial transactions in Quickbooks, and coordinate with the accountant and the Director of Program Implementation & Evaluation on monthly reconciliation.
  • Prepare invoices for services provided by Healing Justice and receive payments. Pay bills and process reimbursements in a timely fashion. 
  • Maintain documentation of financial activity, including expense invoices, bank deposits, bank statements, payroll journals and payments.
  • Assist with other accounting functions, including preparing financial reports and tax returns.

Human Resources:

  • Ensure that the employee handbook is current, and that all staff have a current copy.
  • Provide relevant documents to new employees, volunteers, and interns, and keep employee files.
  • Serve as the contact person with our organizational insurance providers and, as necessary, complete insurance applications and annual audits. 

REQUIRED QUALIFICATIONS & EXPERIENCE:

  • Three+ years of experience in non-profit office administration, operations or management.
  • Demonstrated experience in bookkeeping, accounting, financial management, and financial record-keeping.
  • Demonstrated proficiency with: 
  • G-Suite
  • Adobe Acrobat Pro DC
  • Quickbooks
  • Donorbox or other donor management software
  • Mailchimp (or other e-newsletter platform)
  • Experience working in a small organization in a significant role.
  • Experience with grant applications, nonprofit licensing and event planning a plus.
  • Bachelor’s degree preferred.

  • Grace and flexibility under pressure, and a sense of humor.

COMPENSATION:

$22,500 (20 hours/week). This is a part-time position requiring 20 per week. Paid vacation, family friendly work environment, and flexible work hours.
