BayLegal seeks an experienced facilities manager to plan, direct, and coordinate building operations and maintenance of equipment for BayLegal’s six regional offices. The position is based in our Oakland office with the Central Support team and requires travel throughout the Bay Area. This is a non-exempt position. See below description of our current work environment due to COVID-19.

Duties & Responsibilities - The Facilities Manager performs maintenance, safety and management tasks that promote a clean and safe working environment for all staff, including:

  • Perform routine maintenance on facilities and make repairs as needed.
  • Schedule routine inspections and emergency repairs with outside vendors.
  • Ensure proper security measures for the workplace, including collaborating with security system vendors or a team of security professionals.
  • Member of emergency preparedness team, including responsible for monitoring and assessing all BayLegal offices for ongoing compliance with COVID-19 health and safety protocols, and ensure physical offices are properly maintained during reduced use caused by remote operations.
  • Maintain day-to-day operations of facilities, including managing and processing work order requests in a timely manner.
  • Proactively identify and respond to improvement needs.
  • Identify and implement efficient, sustainable, and eco-friendly practices, equipment, and products that further BayLegal's goals of environmental sustainability.
  • Act as liaison between BayLegal and outside contractors/agencies to resolve specialized problems.
  • Draft and implement preventive maintenance schedules for buildings and equipment.   
  • Ensure safety standards are followed throughout facility.   
  • Maintain files of warranties, records, licenses, inspections, service agreements, and contracts for various pieces of equipment.
  • Maintain the inventory, storage, and distribution of equipment.
  • Provide recommendations for purchases of new equipment.
  • Primary contact for BayLegal’s Oakland tenants.
  • Primary contact for property management in BayLegal’s leased offices (Napa, San Francisco, Redwood City and San Jose.)
  • Work closely with IT department, equipment set-up and configurations.
  • Engage in other tasks and projects that further BayLegal's operations as a non-profit.

Requirements/Qualifications/About the Successful Candidate:

  • Must have received or be willing to receive the COVID-19 vaccination by date of hire to be considered. Proof of vaccination required (self-certification).
  • Advanced mechanical skills and knowledge of plumbing, HVAC, and other building systems.
  • Proficiency with repair tools and techniques.
  • Excellent time management and organizational skills, with strong ability to prioritize.
  • Keen attention to detail and efficient problem-solving skills.
  • Proficient in MS Office Suite or related software necessary to create and maintain reports and logs.
  • Maintain a current California driver’s license and ability to travel to all sites as needed.
  • Bilingual ability in Spanish preferred.
  • Strong personal work ethic, and ability to meet critical deadlines with minimal supervision.
  • Strong interpersonal skills and ability to work collaboratively.
  • Positive attitude and healthy sense of humor.
  • Curious and self-directed with an ability to anticipate need.
  • Ability to simultaneously manage multiple projects while maintaining a firm grasp of individual project details.

Education and Experience:

  • A minimum of a high school diploma or GED.
  • Minimum 5 years of industry experience
  • Facilities management coursework in a technical or trade school, and/or Associates or Bachelor’s degree preferred.

Physical Requirements:

  • Prolonged periods of standing and walking throughout facilities.
  • Must be able to bend, lift, stretch, climb, and crawl to maintain equipment and buildings.
  • Must be able to perform work in a variety of weather conditions.
  • Ability to lift to 40-50 pounds. 

COVID-19 Work Environment: BayLegal is committed to the health and safety of our staff, clients, and community. Due to the COVID-19 Pandemic, most BayLegal employees remain primarily working remotely.  BayLegal has implemented detailed health and safety protocols to minimize risk of exposure and has an evolving plan for expanding local receptions hours to the public and increased in-person activities in our offices and community-based advocacy sites.  The responsibilities for this position primarily require on-site activities.

Compensation and Benefits: We offer a diverse, family friendly environment, and compensation based on competitive public interest salaries along with a generous benefits package. The estimated annual salary range is $70,000 - $85,000 (placement in range determined primarily by years of related experience).  BayLegal's benefits package includes 100% employer covered medical, dental, and life insurance for employees and up to 40-50% for dependents; BayLegal student debt reimbursement program; long term disability insurance; employee assistance program; stipends for bilingual employees whose language skills are used in the provision of work tasks; dependent childcare employer contribution program; employer paid CA Bar license and/or social work license fees; and 401k retirement plan with BayLegal contribution following first year.  BayLegal has a generous paid leave policy which includes: sick leave; parental leave; 14 holidays each year; 3 floating holidays each year (days chosen by employee); and vacation (starting at 13 days and increasing with additional years of employment).
