    POSITION SUMMARY

We believe in the power of human connection, and as a result, we follow a hybrid-remote and in-the-office model, which enables flexibility and encourages collaboration. New staff must reside in the DMV, and all employees are expected in the office for several days every month.

    The Philanthropic Partnerships Team works to bring new funders, resources, and leadership to the democracy field. Using Democracy Fund’s expertise, rigor, and systems approach, the team helps donors strategically invest in innovative and successful nonprofits working to strengthen our democracy. We are not fundraising for ourselves but providing a unique service to the fields in which we work. This strategy is a major element of Democracy Fund’s strategic vision.

    Democracy Fund is seeking someone who loves working in a fast-paced, mission-driven, entrepreneurial environment. The partnerships coordinator will play a key role in supporting the emerging strategy. Experience in fundraising and development is a plus but not required. The position focuses on providing logistical and high-level administrative support for the Philanthropic Partnerships Team, including scheduling, contract and invoice management, project management, event planning support, relationship tracking, and other tasks. The ideal candidate is a careful planner and adept connector with an eye for detail who successfully meets deadlines and is ready to support a high-performing team through their next phase of growth. This role is a hub for work happening across the team and helps other internal teams connect to and collaborate with Philanthropic Partnerships.

    This position has a two-year term, with the possibility of renewal, and reports to the senior director of Partnerships.

    PRIMARY RESPONSIBILITIES

    HIGH-LEVEL ADMINISTRATIVE

    • Problem-solve to determine appropriate courses of action, meet deadlines, and ensure processes move smoothly.
    • Schedule team meetings, set agenda for team meetings, oversee information flow across the team, and manage the calendar of the senior director.
    • Create and submit monthly corporate expense reports for the senior director, draft contracts, and manage invoices for team consultants.
    • With various members of the team, develop and implement new processes, platforms, or systems improvements to increase the team’s efficacy and coordination — e.g., using project management software, such as Salesforce, Asana, or updating a shared calendar system.
    • Edit and proofread a variety of written materials, including exclusive information packages, email updates, and reports, with close attention to detail.
    • Track, manage, and follow up on existing and incoming external contacts with professionalism and discretion, cultivating ongoing relationships as needed.
    • Support external event planning and organizational-level events, including in-person or online funder events, briefings, and strategy retreats.
    • Collaborate and work seamlessly across Democracy Fund departments.
    • Provide occasional back-up coverage support for the receptionist and other coordinators.
    • Work with IT staff to support team technology needs as they arise.

    PROJECT SUPPORT

    • Research and draft donor briefing memos and project updates.
    • Track donor cultivation and stewardship activities through Salesforce with professionalism and discretion.
    • Maintain records on event activities, progress, status, and post-event summaries.
    • Coordinate and oversee regular updates of stewardship reports and files to ensure frontline fundraisers have up-to-date information.
    • Support production and coordination of major events, special communications, meeting and trip reports, and president’s letters.
    • Assist with planning documents (e.g., workflows, agendas, contact sheets), invitations, mailings, responses, and guest lists.

    TEAM MEMBER AND COLLABORATOR

    • Work to develop and support strong cross organizational systems with other administrative staff across Democracy Fund to ensure teams successfully launch, maintain, and refine operations across the organization.
    • Promote a team culture of high performance and continuous improvement that values learning, quality, collaboration, positivity, and transparency.
    • Bring enthusiasm and a positive outlook to problem-solving and day-to-day juggling of priorities.

    EDUCATION, EXPERIENCE, AND SKILLS REQUIREMENTS

    • Deep passion for creating an inclusive, multiracial democracy.
    • Strong commitment to racial equity and justice.
    • A high level of integrity that embodies and reflects Democracy Fund values.
    • Two to four years of experience supporting a high-performing team or senior-level executive, preferably in a nonprofit setting.
    • Demonstrated ability to achieve high-performance goals, including motivation to meet deadlines and keep projects and priorities moving forward.
    • Excellent organization and follow-through that reflect well-honed skills to perform and prioritize multiple tasks seamlessly, with close attention to detail.
    • Superb interpersonal skills and proven ability to build relationships with stakeholders, including staff, board members, and external partners who bring a diversity of perspectives and lived experience.
    • Excellent written and verbal communication skills.
    • Demonstrated problem-solving skills and excellent judgment in difficult situations, with a proven ability to prioritize work and make solid decisions in support of the organization’s executives.
    • Resourceful team player who works well independently and with groups.
    • Trusted professional with experience handling confidential information with discretion, adapting to various competing demands, and seeking the highest level of customer service and response.
    • High comfort with Microsoft Office and proficiency preferred with Salesforce and project management platforms.
    • Associate’s/bachelor’s degree or relevant experience.

    Salary range begins at $79,282 per year.
