POSITION DESCRIPTION


Job Title:  Business Support and Events Coordinator

Department:  WYSO

Location:  WYSO 

Reports to:  Director of Business Support

Shift:  Primarily (Days)

Salary Level: $32,000 to $36,000 (commensurate with experience)

FLSA Status: Exempt


SUMMARY

75% of this position is managing the administrative needs of WYSO’s business support department. The other 25% is managing 10-12 events per year. Big picture: the Business Support and Events Coordinator must deliver outstanding customer service and communications to all clients, vendors, and staff; ensure timely collection of accounts receivable; fully participate as a member of the WYSO team; and represent WYSO in a professional manner on the phone, in writing, within the office and out in the community.


ESSENTIAL DUTIES AND RESPONSIBILITIES


BUSINESS SUPPORT (75% OF TIME):

  • Enter traffic orders (underwriting and sponsorship contracts) into Allegiance (CRM software).
  • Write 20 second FCC compliant spots for clients, follow up with clients for final approval.
  • Ensure that signed contracts are received, filed, and updated as needed.
  • Place on-air underwriting spots in log, ensure that all copy is current and compliant with FCC regulations, and mark spots as aired.
  • Schedule and update daily, weekly and monthly promos.
  • Maintain the daily log, ensuring that all underwriting spots have been scheduled in advance, and check daily for copy issues reported by on-air staff and make necessary changes or additions.
  • Monitor UW inventory; use best practices to manage inventory for maximum revenue generation and meet clients’ scheduling requests whenever possible.
  • Assist Director of Finance and Administration by recording and depositing payments, Allegiance inputs, and other activities as requested.
  • Complete monthly client billing process, and mail out invoices in a timely manner.
  • Field inquiries from clients regarding invoices and payments promptly; assist with aging account management by coordinating follow-up with the Director of Business Support and/or assigned Account Manager to assure 100% collection of all invoices.
  • Maintain a current list of business clients, and update email marketing lists regularly with current contact information.
  • Prepare monthly and as-needed reports to the Director of Business Support, Development Director, and Director of Finance and Administration. These include, but are not limited to: expiring contracts requiring renewal, seasonal contracts requiring renewal, missing UW copy to be supplied by clients for review, monthly revenue figures for underwriting contracts booked and contracts paid, and other analysis reports as required.
  • Assist with annual audit requests.

 

 

EVENTS COORDINATOR (25% OF TIME): 

  • Coordinate, from planning through execution, selected WYSO events, including but not limited to: 
  • Four “WYSO Leaders” cultivation/thank-you events (major donors)
  • Four “NextUp” events (WYSO’s Young Professionals organization)
  • Two “Sustainer Appreciation Events” (Sustainers are WYSO members who give ongoing monthly gifts)
  • Typical duties associated with these events include: working with volunteers from WYSO’s Board of Directors to define the events; creating the invitation list; working with graphic designer to create invitations; mailing hard copies of the invitation as well as creating a complimentary email campaign; securing catering and alcohol when appropriate; and attending the events
  • Provide assistance to the Director of Development on WYSO’s major fundraising events
  • This includes events with national talent at the Schuster Center or Victoria Theatre; and could also include WYSO-produced fundraising events


SUPERVISORY RESPONSIBILITIES: This position occasionally supervises volunteers who assist with events.  


LEVEL OF SUPERVISION RECEIVED:  General


QUALIFICATIONS:  

  • At least 2 years of experience in sales support/administration or nonprofit development assistance
  • A sense of humor!
  • Must love public radio
  • Excellent written and verbal communication skills
  • Ability to work in a fast-paced team environment but also be self-motivated and independent
  • Proficiency in MS Office; WYSO will train so employee acquires proficiency in Nielsen, Tapscan, Allegiance Traffic, and Salesforce


EDUCATION AND/OR EXPERIENCE: 

Bachelor’s degree (B.A., B.S. or equivalent) required and two years of related experience and/or training highly desirable; or equivalent combination of education and experience.


MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. 


REASONING ABILITY: 

Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.   


CERTIFICATES, LICENSES, REGISTRATIONS: 

A valid driver’s license and appropriate insurance coverage.


PHYSICAL DEMANDS:  

While performing the duties of this job, the staff member is regularly required to sit; use hands to finger, handle, or feel objects, tools, or controls; and talk or hear. The employee is occasionally required to stand, walk, climb stairs, and reach with hands and arms. The individual must regularly lift and/or carry up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required include close vision, distance vision, and the ability to adjust focus.

WORK ENVIRONMENT:  

The noise level in the work environment is usually moderate. The staff member is exposed to year-around outside weather conditions when walking on the campus and to/from appointments with various constituents.
