Executive Assistant to CEO - Executive Office

Salary Range: $64,000 to $74,000

General Responsibilities:

Under the direction of the Chief Executive Officer (CEO), the Executive Assistant performs administrative and support functions at the highest level. Serves as the “front line ambassador” for the CEO. This involves ongoing and significant interaction with staff, Board members, private donors, clients, vendors, and government-based funding sources.

This key position requires the poise, discretion and independent thinking necessary to be efficient and effective at the highest level of a complex and deadline-sensitive environment. Facility with preparing presentations and data visualization is important. Requires solid judgement on a variety of topics.


Specific Duties and Responsibilities:

Serves as the CEO and senior staff liaison to the Board of Trustees

Schedules Board meetings and Board subcommittee meetings, and deals with all corresponding logistics.

Prepares and distributes minutes for Board meetings.

Gathers presentation materials from appropriate managers and prepares, assembles, and distributes materials for upcoming Board meetings. Is the administrator for and maintains JASA’s electronic Board Portal

Responds to Board Member inquiries and provides information

Maintains thorough files of Board Member information

Maintains the calendar of the CEO. Schedules internal and external meetings.

As necessary, serves as liaison for CEO and his/her colleagues

Attends meetings throughout organization at CEO’s request to obtain updated project information, deepen understanding of JASA programs and operations, and/or provide administrative support.

Prepares varied correspondence, including letters, reports, proposals and other documents. These are often of a confidential and sensitive nature.

Develops reports, screens and places phone calls.

Maintains organization wide records and files.

Corresponds with vendors and government agencies.

Interacts with Board members and other VIP’s, responding to inquiries and providing information.

Handles independent portfolio of institutional administrative projects, as they relate to the CEO. Recent projects include research and outreach to recruit diverse board candidates and organizing and producing staff newsletter.

Performs other related tasks as requested or assigned.


Requirements:

Bachelor’s degree or equivalent.

Three years’ experience in similar role in complex, multi-site organization preferred.

Must be poised under pressure, demonstrating high degree of initiative and independent judgment.

Strong interpersonal skills to interact effectively with a wide range of individuals.

Must be computer-literate, including current Microsoft Office Suite (Word, Excel, PowerPoint) and Google products (calendar, email, documents, etc.), and Zoom. Strong skills in preparing tables and visual presentations. 

Must handle confidential information with sensitivity and discretion.

Should have facility with telecommunications, fax, copier and other office equipment.

Must complete assignments efficiently, independently set priorities, meet often tight deadlines, and work on several projects at once.

Should be cognizant of key budgetary concepts.

Must demonstrate excellent follow through skills in fast-paced, ever-changing environment.

Must deal with staff and external parties in a professional and courteous manner.
