Color Of Change was founded in 2005 in response to the realization that during the crisis caused by Hurricane Katrina, as Black people were left stranded on their roofs to die, no one was afraid to disappoint Black people. When government, media, corporations and other decision makers are not afraid of to disappoint Black people, Black communities are negatively impacted and cannot move forward.

 

TEAM SUMMARY

The Operations Team at Color Of Change (COC) comprises IT Operations, and security and facilities management. We are creative and passionate professionals from a range of backgrounds, all committed to operational excellence in pursuit of Color Of Change’s mission. Our team collaborates closely with the Campaigns, Finance, Talent & HR, Marketing and Storytelling, and Executive Office teams to ensure that the entire organization has the tools and resources to achieve the Color Of Change mission.

 

POSITION DESCRIPTION

Color Of Change seek a dynamic Operations Associate to (i) provide overall administrative support for our New York City Office, (ii) lead on-site facilities and vendor management, and (iii) assist with special projects for the Operations team. The Operations Associate reports to the Senior Operations Manager. The ideal candidate has 1-3 years of administrative and/or operations experience and is committed to working in a fast-paced and entrepreneurial environment.

As an Operations Associate, you will develop an insider’s perspective into growth operations in a rapidly growing racial justice organization.

JOB RESPONSIBILITIES

As an Operations Associate in our New York office your job responsibilities will include:

  • Administrative Support (40%)
  • Receive and greet external guests
  • Process incoming and outgoing mail and deliveries
  • Monitor and respond to requests made by staff via the Operations Help Desk
  • Field phone calls and direct to appropriate COC staff as needed
  • Prepare conference rooms before presentations and staff meetings
  • Support ad-hoc scheduling and administrative requests as needed
  • Coordinate both online and in person office-wide professional and/or social events
  • Manage vendor relations
  • Monitor incoming member support inquiries which come in through our ZenDesk platform on a day to day basis and either respond or escalate to other teams in the organization as needed.
  • Support in processing expenses and creating Monthly Expense reports for the Operations Team
  • Facilities Management (30%)
  • Support onsite operations and serve as primary contact for the NYC office facility
  • Serve as the day-to-day contact with building management, security, and maintenance vendors on questions or concerns
  • Keep all office supplies and materials stocked, and proactively identify additional office needs in collaboration with COC colleagues
  • Proactively identify and recommend opportunities for the COC office to be a comfortable and welcoming place to work for all staff
  • Research equipment upgrades and purchases as needed
  • Coordinate the maintenance and usage of common office areas, including conference rooms, kitchen, and supply areas with the entire staff
  • Special Projects with the Operations Team (30%). Potential example projects include:
  • Work with wider Operations Team to plan org-wide events and meetings
  • Plan and manage the logistics of New York office specific monthly events (e.g. lunches, staff celebrations, holiday parties, office culture events, etc.)
  • In close collaboration with the Talent & HR team, support new employee onboarding including facilitating remote onboarding, office tours, desk assignment, setting up office access, etc.
  • Support other special projects for the Operations Team as needed including but not limited to data entry, research assignments, and scheduling

 

Qualifications

You are outgoing and proactive, have professional office presence and phone manner, and demonstrate poise under pressure. You have strong written and oral communication skills, demonstrate attention to detail, and can balance time-sensitive requests and competing priorities. You have a desire to learn more about processes, technologies, and ways of continuously improving. You demonstrate a willingness to implement new strategies and continuous improvement to increase effectiveness on an ongoing basis. Above all, you are a creative problem-solver, have excellent relationship-building skills, and are excited by a generalist operational role.

 To excel in this role, you likely bring the following experience(s) to the table:

  • A minimum of 1-3 years in an administrative assistant or operations support role
  • Strong problem-solving, relationship-building, and interpersonal skills across a range of tasks and audiences
  • Systems-thinker -- you propose systems/structures to solve problems
  • Hands-on orientation -- no detail is too small to escape your notice, and you dig in wherever necessary
  • Demonstrated organizational, project management, and excellent written and verbal communication skills
  • Independent judgment, a proactive nature, and the ability to take initiative
  • Proficiency and familiarity in GSuite applications including Gmail, Google Drive, and Google Calendar
  • Experience with ZenDesk or some other ticketing/customer support tool (preferred, not required)
  • A commitment of Color Of Change’s mission of advancing racial justice and contributing to a less hostile world for Black people
  • A sense of humor and a positive attitude

COMPENSATION 

The salary for the Operations Associate position is $62,000. This is a full-time exempt position. Color Of Change also offers a competitive benefits package.
