I. MAJOR FUNCTIONS

Under the strategic direction of the NASW MA Chapter Executive Director, the Administrative Assistant is responsible for coordinating the continuing education application activities of NASW-MA (the Collaborative) and administrative activities around the FOCUS continuing education mailers. The administrative assistant supports the program manager around execution of the annual Symposium event and supports member retention and recruitment initiatives. The administrative assistant supports the executive director and other staff around scheduling and meeting preparation and other administrative tasks as needed.

 II. BASIC DUTIES AND RESPONSIBILITIES

Coordinate the Chapter’s continuing education application activities:

  • Process and record all incoming applications (mail and online), checking for completeness and payment
  • send paper copies or links to online submissions to reviewers
  • record review results
  • send results to applicants
  • Gain a basic understanding of the MA Social Work Licensing Board Rules and Regulations regarding continuing education (258 CMR 31.04), can reference when needed.
  • Maintain records per licensing regulations.
  • Answer inquiries regarding the application process.
  • Maintain confidentiality concerning application information.
  • Maintain strong relationships with CE applicants and volunteer reviewers.

 Administer the Chapter’s FOCUS CE mailer tests:

  • Process incoming FOCUS CE mailer tests, including confirming membership status and payment.
  • Grade tests.
  • Mail respective CE certificates to those with at least an 80% correct score.
  • Contact those who did not receive an 80% score and invite them to retake the test.
  • Maintain records of test score and respective CE certificates in chapter database.

 Administrative support for the annual Symposium conference:

  • Assist with conference outreach to sponsors, exhibitors, and advertisers
  • Liaison with speakers and attendees, and support registration activities
  • Collate presenter materials for attendees

 Administrative support to the Executive Director:

  • Help maintain the Executive Director’s calendar and schedule meetings with internal and external partners and stakeholders, including legislators
  • Assist with preparation for internal and external meetings
  • Coordinate and support preparation of materials for NASW-MA Board of Director meetings

 Additional duties as needed, or as time and capacity allows.

 III. MINIMUM WORK REQUIREMENTS

  • Excellent verbal and written communications skills. 
  • Ability to manage several projects simultaneously with a keen attention to detail
  • Excellent customer service skills.
  • Ability to establish and maintain cooperative relationships and to build credibility throughout the organization and externally.
  • Strong problem identification skills, including the ability to generate creative solutions, exercise sound judgment, and make effective decisions. 
  • A demonstrated commitment to equity, inclusion, social justice, and the advancement of the social work profession.
  • Ability to work independently, but also as part of a team.

 Knowledge:

  • Proficiency with Microsoft Office including Word, Excel, Access, and Outlook.
  • Knowledge of Google G-Suite and Google Drive, a plus.
  • Knowledge of Massachusetts Social Work Licensing Board rules and regulations regarding licensure and continuing education, a plus.

 Experience:

  • Minimum of 2-5 years of office related work experience, preferably at a professional association and/or in a non-profit setting.
  • Experience in a fast-paced, team environment.
