Purpose of position: The DODC is responsible for supporting the vision, mission and financial objectives of Cape Ann Animal Aid (“CAAA”) through overseeing all fundraising, communications, and marketing strategies including fundraising campaigns, web presence, publications, and social media engagement. In collaboration with the Executive Director, the DODC provides strategic and operational leadership for the organizations annual development, marketing and communication efforts. This position is part of the management team, directly supervising the development department staff (Community Outreach Coordinator and Administrative Assistants). This position reports directly to the Executive Director and works closely with the CAAA Board of Directors (“BOD”) and other CAAA Staff as needed.


Duties and responsibilities:

Fundraising and Development

Provide comprehensive and capital campaign support

  • Create and implement strategies to grow the base of donors and to increase the level and frequency of giving.
  • Provide support and direction to the ED and BOD to identify potential new major gift prospects and cultivate current donors.
  • Generate monthly fundraising progress reports; tracks and analyzes key growth metrics.
  • Manage Exceed Beyond donor database
  • Establish and monitor annual strategies to identify mid-level donors with propensity for increased giving and works with the ED and BOD’s Development Committee to create donor-specific strategies for cultivation and stewardship.
  • Oversee fundraising campaigns including but not limited to:
  • Numerous annual appeals
  • Lifesavers monthly donor club 
  • Special projects and naming opportunities

Develop and maintain professional relationships with local businesses related to fundraising 

Research grants, write and submit grant proposals as appropriate for funding of specific projects in accordance with organizational needs

Leadership of Development Department Staff, CAAA Volunteers and CAAA Events

Staff management

  • Oversee and work with development department staff to achieve development department goals including volunteer program, outreach and events
  • Establish performance goals and objectives, monitor performance, and initiate feedback for employees and carry out company policies and practices as delegated.

Event management; working with development team:

  • Oversee the coordination and implementation of CAAA’s major fundraising events, as well as various organizational and donor events throughout the year. 
  • Organize, prepare and coordinate special event fundraisers, including determining themes and activities, planning, budgeting, agenda development, auction solicitation, securing in-kind support, implementation and event follow up. 
  • Prepare and update event tracking reports and timelines. Additional duties as it relates to special events include managing event volunteers, attending planning meetings, contacting vendors for logistical support and needs, working with the Community Outreach Coordinator to determine adequate volunteer support for the events, etc. 

Financial and Administrative Responsibilities

Financial duties

  • Oversee the Development & Communications Department budget for FY as provided by Executive Director and Board of Directors
  • Develop, implement and monitor annual fundraising strategies and associated costs including direct mail and online giving programs
  • Develop and track fundraising plan and budget
  • Develop and maintain a comprehensive dashboard which tracks Key Performance Indicators specific to fundraising and marketing activities as identified at the department, committee, and board levels

Administrative duties

  • Maintain event calendars
  • Oversee processing of all donations and maintenance and integrity of donor data.
  • Oversee acknowledgements of all donations. 
  • Maintain inventory of business materials including but not limited to: organization publications, cards, envelopes, business cards

Communications

  • Educate CAAA Team related to fundraising programs and practices
  • Craft official messages for public/press including crisis management
  • Create and manage organization’s internet fundraising program and online donor cultivation and stewardship
  • Design and production of annual Impact Report 
  • Maintain website, blog and social media presence on all appropriate platforms
  • Oversee the design and production of newsletters in all formats


Required skills: This position requires a love of people and pets along with 5+ years of fundraising experience (specifically annual fund development) and knowledge of organizational marketing and branding, a Bachelor’s degree in business management or a related field. Strong motivational and problem solving skills, attention to detail, oral and written communication skills, management skills and interpersonal skills required. Candidate must have effective presentation and public speaking skills and the ability to work well under pressure while modeling professionalism to staff and volunteers. This position requires frequent contact with the public in a fast-paced and changing work environment which may at times be stressful. He/she shall be available to the officers of the Board of Directors for professional consultation in connection with the affairs and activities of the Development department for the organization. This position requires a 40-hour work week, including weekends and evenings as scheduled, with intermittent overtime and/or evening work at sites away from CAAA. Candidate must comply with current CAAA Employee Policy Manual.
