Administrative Assistant for the Fellows of the American Bar Foundation

About the Position:

The ABF invites applications from candidates who are seeking an opportunity to grow their nonprofit development experience and donor stewardship. The Fellows Administrative Assistant will be responsible for a variety of tasks as part of a four-person Fellows team that generates more than $2 million annually for the ABF through gifts from Fellows of the ABF.

Under the supervision of the Director of the Fellows, the Fellows Administrative Assistant will:

  • assist with Fellows recruitment efforts by researching print and online sources;
  • coordinate monthly new Fellow invitation mailings including formatting letters & envelopes, updating state rosters and printing all mailing materials;
  • add invitation and follow-up actions to nominee records in database;
  • update monthly report tracking Fellows vacancies;
  • assist with Fellows phone and email inquiries;
  • update constituent records in database with new information (job changes/deceased/etc.) as received;
  • update website content, including list of New Fellows, New Life Fellows, and In Memorial sections, monthly and as needed;
  • process weekly new Fellows welcome packets and quarterly Life Fellow certificates & pins mailing;
  • track supplies and inventory needs for all mailings, Fellows certificates and other donor service materials;
  • draft minutes for Fellows Officer meetings and Board Development Committee meetings;
  • assist with ABA Annual and Midyear Fellows events;
  • work with Director of the Fellows on special projects as assigned;
  • be responsive to requests from other managers and work collaboratively with colleagues across all departments of the ABF.

QUALIFICATIONS:

  • Associate’s degree or equivalent required; Bachelor’s degree preferred. 
  • Experience working in a professional environment preferred.
  • Proficient with Microsoft Office suite products, especially with Excel and mail merge tools.
  • Superb organizational skills and meticulous attention to detail.
  • Experience with Raiser’s Edge or other fundraising databases preferred, but not required.
  • Ability to track and manage multiple projects simultaneously and meet deadlines.
  • Ability to work independently and in a team environment.
  • Ability to interact with attorneys, judges, scholars, and academic professionals.
  • Strong customer service skills, especially on the telephone. 
  • This position is highly responsible and depends on maintaining confidentiality and discretion in all areas of Foundation business. 

 WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

 PHYSICAL DEMANDS

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open cabinets, and bend or stand as necessary.

 POSITION TYPE AND EXPECTED HOURS OF WORK

This is a full-time, non-exempt position. Days and hours of work are Monday through Friday, 9:00 a.m. to 5:00 p.m.  

 TRAVEL

Out-of-state travel is required twice a year.
