Overview of Position

We are looking to fill a newly created on our team. The Office Manager will oversee general office operations, manage front desk operations and provide administrative support to OMRI personnel. The Office Manager reports to the Operations Director and supervises the Office Specialist. Qualified candidates will have background in office and facilities administration.

Major Responsibilities

Staff Management

  • Supervise the Office Specialist
  • Supervise the day-to-day work of direct report; provide coaching and mentoring as needed
  • Coordinate hiring process for direct report, as needed
  • Conduct periodic performance check-ins and evaluations of direct report
  • Serve as a liaison for direct report, communicating and supporting organizational priorities, and addressing and resolving concerns and/or bringing to upper management as needed
  • Ensure adequate coverage for positions supervised by the Office Manager on a regular basis, as well as during absences

 Office Administration

  • Ensure that the office is adequately supplied and meets the needs of OMRI and its employees
  • Oversee regular supply orders made by the Office Specialist
  • Purchase office furniture and coordinate assembly as needed
  • Promote office sanitation and sustainability guidelines with staff, particularly with respect to office kitchens
  • Monitor and adjust office environmental controls as needed to support employee comfort
  • Oversee utilization of OMRI’s workspace and facilities
  •  Oversee use of OMRI’s facilities and equipment
  • Manage utilization of facility parking spaces
  •  Coordinate support for staff meetings including scheduling meetings, enabling remote attendance technology, and other tasks as needed
  • Serve as secondary, back-up check signer in the absence of the Deputy Director and the Executive Director

Facilities Management

  • Manage facilities and related operations
  • Ensure that OMRI’s office space is adequately supplied and in good repair and meets OMRI’s needs
  • Manage office moves and relocations
  • Under direction from the Deputy Director, implement OMRI office lease and interface with property owner
  • Responsible for facilities planning
  • Oversee facility maintenance and office repair tasks
  • Monitor and respond to the maintenance@omri.org e-mail helpdesk
  • Coordinate with landlord/contractors as needed for repairs and maintenance
  • Oversee the work of facility service vendors and contractors
  • Coordinate with alarm system vendor on installation, maintenance, and repair activities
  • Coordinate cleaning schedules and monitor performance of janitorial contractors
  • Act as point of contact for storage and retrieval of off-site document storage
  • Research and recommend new service vendors and contractors as needed
  • Responsible for effective implementation of OMRI’s current company policies and practices regarding the physical safety and security of the OMRI office and staff and proactively recommends and/or develops new draft policies and/or practices as awareness or needs arise
  • Maintain and update emergency response procedures and policies
  • Respond to security and safety concerns
  • Manage the OMRI Visitor Log
  • Act as first point of contact for facility alarms
  • File OSHA accident reports as needed
  • Work with the Deputy Director to identify and communicate safety-related office closures

Staff Events

  • Oversee setup and preparation for monthly staff meetings
  • Provide logistic support to the OMRI Events and Activities team
  • Coordinate the purchasing of food, supplies, and other materials for designated staff morale functions
  • Stage and transport materials to and from event sites
  •  Assist with set up and tear down of designated staff events
  • Other duties as assigned

Level of Language Proficiency

Qualifications

Education and Experience:

·        Bachelor’s degree required; an equivalent combination of relevant education and/or experience beyond the requirements below may be considered as a substitute for the degree requirement

·        3 years of work experience in office and/or facilities management required

·        2 years of work experience supervising employees preferred

·        Ability to coach and mentor employees

·        Ability to manage and prioritize multiple tasks, organize information, complete tasks in a timely fashion, and appropriately handle confidential business information

Preferred

·        Familiarity with and support for organic food

 Other Requirements:

·        Ability to work occasional nights and weekends

  • Ability to occasionally travel domestically
  • Ability to provide annual motor vehicle report and proof of auto insurance, if required
