ORGANIZATION 

The Eliot School inspires lifelong learning in craft and creativity for all. Our programs cultivate welcoming environments where people convene across a continuum of age, economic means and backgrounds to build skills, craftsmanship, and community. We sustain connections to communities in Greater Boston and beyond. 

Classes for all ages take place in our schoolhouse and annex, and, for youth, in schools and community centers throughout Boston. Our focus on manual arts includes woodworking/furniture, sewing/fashion/fiber arts, drawing/painting, book arts, and mixed media. Other programs include creative youth development, an annual artist’s residency, talks, and events.

POSITION: OPERATIONS SUPERVISOR 

We seek a thoughtful and energetic individual to serve as the Eliot School’s first Operations Supervisor, a leadership position within an organization poised for new growth. 

The Operations Supervisor oversees the Eliot School’s organizational processes and operations to ensure quality and optimal mission-alignment. The Operations Supervisor is responsible for the smooth operation of the organization’s financial management and reporting, human resource systems in the area of payroll facilitation, employee onboarding and separation, ensuring efficient information technology and facilities management. 

The Operations Supervisor promotes and sustains a culture of ‘radical welcoming’ throughout the school and its functions, supporting an environment that is welcoming to all. They support the Eliot School’s mission, values, welcoming commitment, and strategic plan. This position works with organizational leadership to develop and implement long-term vision and present-day program implementation based on a commitment to racial equity.   

The Operations Supervisor reports to the executive director.  This is a full-time, exempt position job. The work schedule may combine in-person & remote, with at least 75% of time in-person. 

Essential Duties & Responsibilities 

Financial Management & Reporting 

  • Liaison with the Eliot School’s bookkeeping service to ensure all expenditures and income are reconciled; deliver a monthly report to the executive director and area-specific budgets to all team leaders 
  • Oversee large purchasing accounts, ensuring staff have appropriate access and that organizational expenses are made efficiently; ensure that bills are sent to the bookkeeper with necessary information; oversee employee access to the organization’s expense cards and ensure expenses are approved and coded in a timely manner 
  • Coordinate the organization’s annual financial audit process, working with the executive director and the organization’s CPA service to ensure state and federal compliance 

Human Resources  

  • Liaison with the organization’s payroll service; oversee bi-monthly time card and payroll register approval 
  • Oversee new employee onboarding and departing employee separation processes, including adding new employees to the payroll system and ensuring that the separation process for departing employees is complete 
  • Coordinate an annual review of the organization’s employee handbook and benefits summary, ensuring both documents are updated and relevant; work with the executive director to establish compensation guidelines for the organization 

Facilities Oversight 

  • Oversee the Eliot School’s facilities, including grounds upkeep, trash & recycling services, storage areas and storage buildings, and seasonal structures on the grounds 
  • Supervise a part-time (10-15 hr/week) custodian 
  • Oversee building maintenance and capital improvement projects at both the Eliot School House and the Annex office space; liaison with building, utility, communication contractors; communicate facilities updates and projects to staff, board and neighbors, as appropriate 
  • Coordinate with program staff to deliver program supplies to partner school sites (or any other off-site programming location); secure resources as necessary to ensure an efficient and smooth delivery and pick-up of supplies at the start and end of semesters 
  • Oversee stage set-up for schoolyard events, as necessary 

Information Technology  

  • Oversee information technology services; liaison with the organization’s IT providers; identify IT concerns or efficiencies and share with the executive director 

Qualifications 

  • At least three years related experience required; 5or more years of experience preferred  
  • Experience managing and prioritizing numerous projects in a deadline-oriented environment 
  • Demonstrated experience with racial equity transformation in organizations or community efforts 
  • Current human resources and/or compensation credentials or certification preferred

  • Interpersonal skills to communicate with executives and staff employees 
  • Understanding of financial and budgeting processes and principles 
  • Organizational skills and the flexibility to jump from priority to priority 
  • Comfortable with legal and regulatory processes to ensure local, state and federal compliance 
  • Comfort with technology and ability to adapt to new software and systems
