Reports to: Staff Attorney

Full-time; Non-Exempt

Location: Oakland

Job Summary

The Administrative Coordinator is the senior administrative position for the IIBA’s Oakland and Fremont offices. The Administrative Coordinator has primarily responsible for implementing and maintaining IIBA Policies and Procedures and assisting the Program Director with grant reporting. This position will ensure quality control specifically to the provision of legal services for both the Fremont and Oakland office.

Job Responsibilities: 

  • Responsible for implementing and maintaining IIBA Administrative Policies and Procedures within the Oakland and Fremont offices.
  • Train office staff as necessary in IIBA Policies and Procedures, data management protocols, and adaptation of new office technology.
  • Responsible for implementing and maintaining IIBA procedures for data organization and management, including Box and Cerenade usage
  • Assisting PD with grant management
  • Overseeing data entry and collection for IIBA Oakland grant monthly reporting requirements
  • Assisting the Program Director in grant writing and reporting, as needed
  • General Office Management Duties (Oakland only)
  • Provide administrative support with fee receipts and deposits, petty cash, timesheets, personnel and HR documentation, in close coordination with IIBA’s central office.
  • Manage office operations, including IT, computers and communications equipment, vendors and IT consultants, supplies and equipment, postage and mailing procedures, agency website content.
  • General Office Administrative Duties (Oakland only)

The Administrative Coordinator will share the following responsibilities with the Oakland Administrative Assistant:

  • Responsible for office copying, filing, mailing, scanning, fee collection, as assigned.
  • Respond to incoming calls, take care of in-person reception; assist with ongoing client communications in person, on phone, and by mail.
  • Assisting with the administration of USCIS filing fees for select DACA and Naturalization applications.
  • Responsible for mail, data entry, appointment scheduling, and group processing at workshops.
  • Maintain client database. Generate necessary reports for legal and program staff and grant requirements.
  • Handle Spanish/English document translations, and coordination between staff and volunteer translators regarding larger translation requests
  • Take care and manage volunteer data entry in Salesforce
  • Assist with legal documents, immigration forms completion and document preparation, under the supervision of attorneys and accredited representatives.
  • Administrative assistance in the ongoing legal work involving applications for work authorizations for students of the Oakland Unified School District under Staff Attorney supervision
  • Assist with the maintenance of case files and active case spreadsheets.
  • Maintain library of legal references and training materials.
  • Assist in the onboarding process for new hires. 
  • Participate in staff development and training. 
  • Other duties as assigned.

Knowledge, Skills and Abilities Required:

  • Fluent in written and spoken English and Spanish. 
  • Good written translation skills. 
  • Well organized, extremely accurate, attentive to detail, and reliable.
  • Excellent communication skills
  • Proficiency in a Windows/PC environment, Microsoft Excel, and able to quickly become proficient in the use of IIBA’s immigration law software and database.
  • Experience interacting with clients in a professional and helpful manner.
  • Commitment to serve and compassion for the issues faced by the low-income newcomer community. 
  • Knowledge of immigration laws and procedures preferred.

Qualifications:

  • Education: High School diploma. College preferred.
  • Work Experience: Minimum 2 years previous administrative experience.
  • Fluent in Spanish & English required

Salary/Benefits: Pay is commensurate with experience.
