Perkins is looking for a dynamic and professional assistant to provide advanced support to our Chief People Officer (CPO) and HR Leadership team.  Reporting to the CPO, you will provide administrative support, as well as coordinate strategic HR and Volunteer Program initiatives, that the department is looking to drive across the organization. The ideal candidate for this position will have strong communication skills, planning & organizing expertise, and the ability to provide superior customer service. You will be self-sufficient, resourceful, and an independent thinker, with excellent project management skills. Due to the nature of this position, a high degree of confidentiality is required. 

Located in Watertown, MA (starting remotely), this is an opportunity for the right candidate to take their Executive Assistant skills to the next level, helping to shape the way HR provides strategic support and advice across the organization, directly impacting employee engagement. 

  • Supports the CPO by managing their calendar, organizing all electronic and paper files, creating and conducting correspondence on their behalf, tracking data, creating reports, presentations, expense administration, etc.
  • Plans, schedules and organizes various meetings, including agenda preparation, documentation and distribution of meeting minutes, etc., to optimize the CPO’s productivity and keep projects on track
  • Reads incoming correspondence; determines deadlines; checks accuracy of documents requiring CPO’s signature; summarizes content if needed; provides necessary backup material for CPO’s review; offers advice or initiates reply if appropriate; and coordinates follow-up as necessary
  • Responsible for all aspects and logistics of event planning for HR or Volunteer Program gatherings (e.g., town halls, development trainings, employee engagement events, etc.)
  • Manage office budget, invoices, and expense reports
  • Support the benefits administration function by processing group medical and dental insurance enrollments, termination and status changes status of employees in the benefit plans
  • Maintain CORI and Safe Hire background check system for employment candidates, including organization and security of CORI and Safe Hire records
  • Distribute unemployment information to terminated employees and provide termination information to unemployment insurance outsource agency and to COBRA administrator to ensure legal compliance
  • Manages Employment Verification Process
  • Input Worker’s Compensation information into the HRIS
  • Takes on special projects and drives them to completion
  •  Identify areas for improvement in existing business practices

The successful candidate will be experienced supporting an Executive and an organized project manager with the ability to prioritize multiple tasks and projects simultaneously, demonstrating a sense of urgency and excellent follow up. 

What we’re looking for:

  • 5+ years of administrative support experience, preferably within HR, project management, or event planning
  • Ability to anticipate needs and requests without being asked, effective communication, writing and grammar skills
  • Anentrepreneurialandcreativeapproachtodevelopingnew,innovativeideasthatwillstretchthe organization and push boundaries whereneeded.
  • Ability to take initiative and work both as an independent self-starter and strong team player
  • Interacts with all team members with a high level of professionalism
  • Strong attention to detail
