Who we are looking for:

ASCO is in search of a highly-motived Program Coordinator to provide support to the Grants & Awards (G&A) Division of Conquer Cancer, the ASCO Foundation. The selected candidate will coordinate activities for pre-award planning and post-award administration of various grants and awards, coordinate review meetings, and effectively communicate information about the Grants and Awards program.

Responsibilities

  • Assist with the processing of incoming grant and award applications
  • Coordinate and respond to applicant inquiries and recipient communications sent to the general G&A emails or by phone
  • Maintain review committee rosters and reviewer expertise areas in the grants management system and other tracking systems
  • Perform data entry and data mining to support the grants management process and program evaluation; and prepare and maintain recipient listings
  • Coordinate scheduling of conference calls for the Grants Selection Committee and Subcommittees and serve as support staff during grant review calls and meetings
  • Support committee meetings including preparing and distributing meeting materials, coordinating travel logistics, and post meeting follow up
  • Communicate with recipients to ensure compliance with grant or award requirements
  • Review recipient expenditure reports, requests, and complete grant closeouts
  • Support ongoing organization functions such as updating the programmatic calendar, updating G&A webpages, compiling program data, and sending mailings to awardees and grantee institutions
  • Support the production of Grants and Awards Program materials and the logistical coordination of G&A events at the ASCO Annual Meeting and the Scientific and Career Development Retreat
  • Support Conquer Cancer with telephone hunt line coverage during main business hours


What you need in order to be successful:

  • Bachelor’s degree in Business or a related field
  • Minimum of 2-3 years of successful program coordination experience, and having grants and awards support experience is a plus
  • Proficiency in Microsoft Office Suite, and having grants management software experience is a plus
  • Openness to embracing and working with new technology
  • Excellent time management skills and organizational skills with a strong attention to detail
  • Ability to effectively multi-task and manage own time, priorities, and resources 
  • Strong written and verbal communication skills
  • Excellent customer service and relationship building skills

  • 1-5 days/yr
