Song of the Morning - a rustic and inviting spiritual retreat in the beautiful North Woods of Michigan - is seeking a special person to fill our unique role as Retreat Office Manager. This position is an incredible opportunity for someone with a spiritual heart of service, a sharp and organized mind, an eye for details, and a passion for welcoming and engaging with our guests, program facilitators, and all the souls who make up our spiritual community. It is a non-traditional position in a live-work environment where the spiritual pursuit of God-Union through meditation, contemplation, and living a balanced yogic lifestyle form the lynchpin of our non-profit mission.

 

The right applicant will have excellent communication skills and a passionate drive for organizing the many moving pieces that make our retreat tick. This includes a high level of organization; extreme comfort working with a computer; emotional, spiritual, and intellectual maturity; a warm and inviting personality that genuinely enjoys interacting with new faces (as well as with the same old faces you see every day!); the ability to multitask, meet deadlines, delegate responsibilities, and communicate clearly to the different souls and teams involved; and perhaps most importantly of all, a hunger for spiritual Truth and Self-Realization.

 

In many ways the Retreat Office Manager is the hub in the wheel of our operations. This is the person who most interacts with guests, greeting them by phone and email and in person when they arrive on site. The Retreat Office Manager is tasked with communicating to program facilitators, staff, and management so that everyone is on the same page and knows everything they need to know for our retreats to flow smoothly and harmoniously. This includes big-picture as well as detail-oriented planning, processing, organizing and executing a variety of tasks (outlined below). It means working alone as well as with a team, taking direction as well as being self-initiating, communicating clearly and consistently, and balancing your time and energies while living and serving in an intentional community where together we embark on a spiritual path to the heart of Yoga - the heart of divine union - with daily opportunities for devotion, meditation, and spiritual practice in the sacred embrace of nature. 

 

Song of the Morning is founded under the teachings of Paramahansa Yogananda, spiritual master from India and author of Autobiography of a Yogi. Since time immemorial, Yoga has meant a sincere dedication to purifying the self and through this purification drawing closer to God - the Divine Source in which we live and move and have our Being. We honor that tradition at Song of the Morning and invite staff who too wish to live Yoga in a simple, humble, practical way, day-in and day-out. We are an authentic and unique Yoga Retreat located on 800 acres in the heart of a vast forest. Job Description: Primary jobs include greeting guests; answering calls, emails and inquiries; managing all aspects of our online reservation system including guest reservations; coordinating and organizing programmed retreats including open and frequent communications with program facilitators, management, and staff; light bookkeeping duties including handling money and compiling reports; assisting with marketing communications and managing website and social media accounts. Additional roles include supporting staff as needed (kitchen, housekeeping, grounds, etc.).


Specific Job Responsibilities:

Guest Services:

  • Provide a warm and inviting voice to all who call Song of the Morning by answering phones in a professional and courteous manner, and perform reception duties for visitors to the retreat center
  • Take and process reservations, answer questions about SOM, lodging, programs, etc.
  • Manage reservations software
  • Reconcile daily guest services income
  • Correspondence: phone and email
  • Manage guest roster; communicate details and ongoing changes with management, housekeeping and kitchen staff


Programming:

  • Coordinate rental and use of facilities
  • Coordinate facilitator deposits and program fee payments
  • Help with planning and organization of retreats in a variety of ways, which includes long-term planning as well as meeting arising needs
  • Prepare and post weekend schedules
  • Promote events on social media
  • Communicate events and programs to resident community; ongoing communication and outreach to management and staff concerning specific program needs, etc.

Office Management:

  • Provide ongoing administration of office systems: office and computer equipment including voice mail system, copy equipment, phone system, etc.
  • Assist staff with general administrative tasks


Other:

  • Kitchen cleanup, housekeeping, and grounds help as needed


Time Allocation:

60% Guest Services

30% Programming

10% Other


Required knowledge, skills, training, attitudes/qualities:

  • Interpersonal and emotional intelligence skills that support the development of strong relationships with individuals and groups
  • Critical thinking skills: the ability to make empowered decisions based on a clear understanding of the mission and values of the retreat center
  • Comfortable behind a computer, with general computer skills and experience required; hands-on experience with relevant software preferred: Google Docs, Microsoft Excel & Word, Adobe Photoshop and InDesign, Square Reports, Quickbooks
  • Solid understanding of basic bookkeeping and mathematics
  • Organization, writing, proofreading, editing, and an eye for details
  • Maturity, professionalism, and a desire to communicate openly and constructively
  • A natural ability to organize and prioritize while meeting changing circumstances with humility and flexibility
  • A connection to the mission of Golden Lotus, Inc./Song of the Morning, including a sincere spiritual practice

Benefits

This is a regular full-time (40 hours per week) position. The pay is humble (minimum wage), however the intangible benefits are many. Those benefits include low-rent opportunities for a (small) private room and delicious vegetarian meals; a spiritualized atmosphere in an intentional community which balances personal time in a serene natural setting with community activities and engagements; occasional hatha yoga classes, nightly meditations, and access to many weekend workshops when workload permits, including a weekly Sunday devotional service. Those who commit long-term are eligible to enroll in the Golden Lotus School of Yoga Teacher Training Program at no charge. This position reports to the Retreat Manager(s).
