ABOUT ANGEL ISLAND IMMIGRATION STATION FOUNDATION (AIISF)
AIISF is a 501C3 nonprofit fundraising partner of California State Parks. AIISF funds capital and interpretative improvements at the U.S. Immigration Station on Angel Island and creates public programs to raise awareness of the experience of Immigration into America through the Pacific. AIISF collects and preserves the rich stories and personal journeys of thousands of immigrants, and shares them with 20,000 annual visitors at the Immigration Station museum and grounds on Angel Island. Through education initiatives, media placement and public programs, AIISF broadens the audience for these programs to everyone living in the United States.
Reporting to the Executive Director, the part-time Operations Manager will assist in every aspect of AIISF’s work. He/She will work on projects ranging from event support, gift entry, and financial management.
1. Administrative Support:
o Prepare and distribute correspondence and other mailings
o Manage the organization’s general e-mail and voicemail account, responding to public queries
o Maintain document control and an organized filing system
o Respond to routine requests from Board members for information
o Work with the Executive Director on support tasks as needed
o Keep an evolving project list to review with the Executive Director in weekly meetings
o Manage invoices
o Code general office invoices with proper expense codes
o Code debit and credit card charges with proper expense codes
o Mail accounts payable checks
o Manage deposits: provide back-up documentation, reconcile deposit log, print & mail donor acknowledgement letters
o Data entry of gifts into GiftWorks database
o Provide reports on contributed income using GiftWorks database
o Create mailing lists for invitations & fundraising campaigns using the GiftWorks database
o Update the Board and Executive Director on $500+ gifts that are received, and encourage personal thank you emails
o Manage the Network-for-Good online giving site
o Support the Gala fundraising effort by maintaining prospect spreadsheet, running regular reports, and other duties as assigned.
o Manage the named bench program, donor-sponsored benches at the immigration station
4. Office Management
o Manage IT in the office, with support from an IT consultant
o Manage office supplies, including letterhead orders
5. Program Support:
o Support the Program Committee as needed
o Manage distribution of field trip scholarships to teachers
6. Marketing Duties
o Maintain AIISF’s website on the Squarespace platform with support from a web contractor
o Write AIISF’s bi-monthly e-newsletter and participate in an editing process with the Executive Director
o Lay-out the e-newsletter using Constant Contact e-marketing software
o Create informal marketing materials using Microsoft Word
o Work with graphic designers and printers on invitations, mailings, and other communications
o Manage AIISF’s social media channels, including Facebook
7. Other Duties as assigned.
Required: Bachelor’s degree. 3+ years of work experience. A successful candidate will have excellent communication and organizational skills. He/she should also be able to manage multiple priorities and high-level relationships. Experience with Microsoft Office and PC/Windows.
Desired: Experience with marketing software (Constant Contact), donor databases (Giftworks, Network-for-Good), website design (Squarespace), cloud (Box) and events is a plus.
