The Golden Gate National Parks Conservancy is the nonprofit support partner of the Golden Gate National Parks—84,000 acres of national parkland throughout the Bay Area, including Muir Woods, Ocean Beach, Crissy Field, and Alcatraz. The Parks Conservancy is a membership organization created to preserve the Golden Gate National Parks, enhance the experiences of park visitors, and build a community dedicated to conserving the parks for the future. Park projects and programs include the Crissy Field Center, the promoting of leadership and environmental justice training for youth; the Native Plant Nurseries, which grows over 100,000 plants annually to restore habitat; Trails Forever, which is at work building and rehabilitating miles of trails throughout the parks; and volunteer programs that inspire over 25,000 people annually to take action in support the parks.


Position Overview:

The Director, Retail Systems and Operations (DRSO) is responsible for developing and directing the Conservancy’s POS systems, evaluative analysis, and reporting. The DRSO directs Conservancy’s warehouse operations and staff, overseeing Conservancy wholesale and online stores. The DRSO is the division lead in the Conservancy’s data analytic initiative. The DRSO coordinates with DPDO to oversee Conservancy inventory management strategy and other duties as assigned. The DRSO works a M-F schedule, and weekends when needed. 


The DRSO supervises the Associate Director of Inventory Distribution and Retail Systems Specialist.


Key Duties and Responsibilities:

POS Systems Development and Management

  • Directs POS for all retail sites
  • Creates and implements policies and procedures to ensure consistent and smooth-running system at all locations
  • Oversees POS hardware and software, handling concerns, troubleshooting and resolving problems
  • Standardizes, documents, and oversees POS work flows for staff to maximize productivity, minimize redundancies, and align with latest functionality of POS system
  • Resolves daily data and performance issues in a timely manner, maintains regular contact with users throughout the report development/testing/resolution process.
  • Manages data integrity for accounting and audit purposes
  • Develops and monitors POS-related departmental budgets
  • Coordinates retail teams and systems with Finance team and system to ensure data supports and syncs with operational needs
  • Serves as liaison with Finance department to reconcile discrepancies on financial statements and accounts payables relating to warehouse operations
  • Directs maintenance of archival records, including backing up files
  • Ensures POS equipment and supplies are maintained
  • Determines ongoing development needs and software/hardware upgrades of POS system
  • Develops and enhances POS system with provider to maximize system potential and functionalities developing new reporting options to help analyze and improve business
  • Standardizes and documents work flows to align with latest functionality of POS system
  • Supervises testing of POS system upgrades from provider to ensure quality and integrity of data before installation
  • Plans and schedules POS system updates and installations and large-scale projects to ensure they are completed in a timely manner
  • Provides ongoing software audits of new and existing applications to ensure data integrity.
  • Provides ongoing POS maintenance to ensure system is running smoothly
  • Manages and provides POS training plan for retail and office staff
  • Collaborates with IT department to resolve system related issues
  • Maintains working knowledge of standard business practices as it relates to data security and the changing federal security requirements of online payment systems
  • Manages third party integrations
  • Directs POS system implementation for new ventures
  • Other duties as assigned


Operations

  • Directs all warehouse operations to ensure a smooth-running program and safe working environment for staff
  • Oversees supply-chain inventory receiving and warehousing for 2M plus Parks Conservancy products and publications, all Golden Gate Bridge merchandise, and selected Alcatraz inventory
  • Oversees weekly distribution and delivery of merchandise to all sites and Westar Marine
  • Oversees wholesale and online store operations and distribution
  • Directs fiscal year-end inventory working with directors and site managers to ensure a smooth running and accurate count.
  • Develops and monitors budgets for warehouses including personnel and expenses
  • Coordinates lease and/or vehicle and equipment purchases and maintenance agreements
  • Maintains effective working relationships with warehouse owners, ensures issues are resolved and building is maintained.
  • Assists in long-range warehouse changes and moves, working with DPDO to scout new locations and negotiate leases
  • Other duties as assigned


Data Analytics/ Business and Inventory Analysis

  • Leads Interpretive Sales Division in Conservancy’s Data Analytic program, representing division at monthly data administrator meeting
  • Identifies division’s myriad of data including sales, contracts, photos, art, etc.
  • Collaborates with Data Analytic Department to organize data and implement newly adopted Conservancy data initiatives
  • Maintains databases and develop weekly/monthly metrics reports
  • Develops, writes, and analyzes reports to verify accuracy and identify relevant specs associated with data.
  • Analyzes inventory sales, monitoring performance and productivity, communicates findings and generates ideas based on results to improve business
  • Works with VPIS, DPDO, and retail directors to develop, implement, and oversee best-practice reporting and analysis program for division
  • Maintains and publishes standard reports for distribution
  • Tracks inventory costs, collaborates with team to update pricing as needed including promotional and deal pricing
  • The DRSO will engage management and line-staff in ongoing meeting and training sessions to develop a best-practice approach to business analytics and enhanced automation to improve our work
  • Develops ad hoc analyses to review and focus current business direction
  • Engages internal customers in report writing, data validation, system capabilities, and analytical efforts
  • Provides internal customer‐facing service for inventory needs
  • Acts as the primary point of contact on day‐to‐day reporting needs and data questions. creates, implements, and presents analytic reporting of sales and inventory to Inventory Management team to streamline business operations and maximize income potential 
  • Other duties as assigned


Staff Management

  • Supervises staff to create a positive, effective, and safe work environment, ensuring smooth running, informed team and maintaining highest level of service
  • Ensures staff is informed and follows all Conservancy policies and guidelines by encouraging open and on-going communication
  • Recruits, hires, fires, trains, coaches, and prioritizes workload to support and develop excellent performance and team cohesion
  • Creates and maintains records for yearly appraisals and conducting staff performance reviews

Computer Skills:   

  • Proficiency in Word, Excel, and POS inventory management systems

      

Education and Experience:

  • 5 years POS system management/reporting experience
  • 5 years staff supervision experience
  • Minimum 3 years Retail, Wholesale, and Warehouse Operations 
  • System Implementation experience and College Degree preferred
