Job Summary/Objective

The position reports directly to the Executive Assistant to the Executive Director and works closely with other departments within the Administration team. In this position, the person is the welcoming “face” of Central Synagogue; therefore, needs to be highly organized and a strong communicator with customer service experience. All positions at Central Synagogue require individuals to be a strong multi-tasker, independent problem-solver who also works well under supervision.



Hours: M-TH 8:30 am-5:00 pm, Friday- 8:30 am-4:30 pm

Full-time, FLSA classification (non-exempt and eligible for OT)

Expected to work on the High Holy Days. Central Synagogue has a generous time-off policy including earned comp time.


Essential Functions include, but are not limited to the following: 

Front Desk Responsibilities (25%)

o  Answer the main phone line: reply to inquiries or route calls, when applicable 

o  Welcome and announce visitors  

o  Check, respond, or forward all messages left on the main line

Office Responsibilities (50%)

o  Manage mail including: maintain postage on mail machine, receive and distribute all incoming mail, post and mail all outgoing mail

o  Assist with large mailings as needed

o  Investigate any returned mail and update new information in our CRM

o  Complete monthly inventory of paper/office supplies and order when needed

o  Update/maintain Central Synagogue Team Directory

o  Assist in coding and processing invoices and check requests, with final approval by the Executive Assistant to the Executive Director

o  Order all new name badges, business cards, letterhead, and stationary

o  Periodic filing, photocopying, and scanning for the Finance and Admin departments

o  Responsible for room bookings and food ordering for all internal Administration meetings  

o  Schedule internal meetings

o  Draft correspondence answering general inquiries to the main phone line or email box

o  Generate and mail donation acknowledgment letters every Friday

o  Complete monthly inventory of paper/office supplies and order when needed


 Periodic Responsibilities (25%)

o   Provide coverage in the absence of the EA to the Executive Director which includes scheduling and other admin support for the Executive Director

o   Assist with all High Holy Day preparations

o   Must work all High Holy Day (“HHD”) services

o   Assist in handling Non-Member HHD services inquiries

o   Create profiles for Non-Members in our CRM and bill for High Holy Days.

o   Follow up about HHD payment issues, ensure the successful e-mailing of tickets, process walk-in’s

o   Handle all incoming reciprocity requests during the HHDs

o  Assist Executive Assistant to the Executive Director on special projects

o  Assist other departments as needed

  • Bachelor’s degree preferred
  • Computer Skills: proficiency in Microsoft applications including Word, Outlook and Excel
  • Data entry experience
  • 3-5 years administrative experience preferred
  • Strong verbal and written communication skills
  • Ability to set and re-set priorities and multi-task effectively and independently in a fast-paced, team-oriented work environment
  • Excellent Interpersonal Skills
