    Description

    Supervision: Supervised by Finance Director. This position has no supervisory responsibilities.

    Wages, Benefits and Hours:

    Starting hourly wage ranges from $30.24 – $32.64 an hour, based on experience. This is a full-time position with a 40-hour work week. Paid time off includes 3 weeks of vacation, increasing to 4 weeks after two years’ tenure, plus 13 paid holidays/year and a 5-week sabbatical after every five years of employment. Other benefits include: monthly home office stipend, health insurance, family and medical leave, retirement plan, and other benefits. Mileage reimbursed at the IRS rate.

    FLSA Status: Non-Exempt

    Geography: Candidate must reside in our service area of New England and New York.

    Essential Functions

    Success in this role requires an ability to manage multiple tasks, attention to detail, good judgment, a positive attitude, both independent self-management and collaboration skills, and a willingness to be a proactive problem-solver.

    Accounting and Cash Management Support (50%)

    • Cash management
      • Enter bank deposits
    • Accounts payable
      • Process invoices
      • Process credit card statements
      • Initiate and process electronic and check payments
    • Revenue cycle
      • Create and process invoices
      • Process payments
      • Coordinate collections process
      • Assist with grant invoicing and reconciliation
    • Reconciliations
      • Assist with account reconciliations
    • Payroll
      • Perform biweekly payroll processing

    Grants Management Support (20%):

    • Organize and maintain grant-related files in relevant platforms.
    • Support the development of materials for grant applications and reports.
    • Support grant-related research.

    Communications Support (15%): 

    • Support external communications coordination and content creation
    • Perform research for media outreach.
    • Support dissemination of information, announcements, materials, and tools with affiliates and external partners.
    • Send acknowledgements to donors.

    Administrative Support (15%): 

    • Maintain and update the CDI Google Calendar, i.e., holidays, Board meetings.
    • Maintain meeting agendas and minutes.
    • Customize contract boilerplates for program leads
    • Coordinate with contractors to facilitate the contract execution and storage process.
    • Support contract and grant administration.
    • Support coordination and tech facilitation for online workshops and meetings.
    • Process physical and electronic mail

    Qualifications & Requirements, Education and Experience 

    • Associate degree, bachelor’s degree preferred. Relevant experience may be substituted for educational requirement.
    • One (1) to three (3) years of relevant experience.
    • Intermediate expertise in the use of Google Suite, Zoom, enterprise accounting applications, and communications platforms; experience with Sage Intact and ADP preferred.
    • Effective verbal and written communication skills.
    • Strong time management and organization skills; meticulous attention to detail.
    • Excellent customer service skills and ability to address inquiries in a timely fashion.
    • Ability to work well independently and as a member of various teams.
    • Ability to manage multiple tasks, prioritize assignments, and meet deadlines.

    Physical Demands and Work Environment: 

    • Able to work well independently and remotely.
    • Coordinate multiple tasks simultaneously.
    • Sit for prolonged periods of time.
    • Utilize visual acuity to operate equipment, read technical information, and/or use a keyboard.
