Job Description:

PDA is seeking a Full Time Assistant Controller to join our growing Accounting Team. Our current need focuses on Accounts Receivable, Grant Compliance, and Complex Expense Coding, but there are opportunities to develop skills in General Ledger, audit support, payroll, human resources, and team management. 

 

The position is available now and we would like to staff it no later than Jan 1st 2021. The salary range is $68,400 to $97,300 per year, depending on education and experience. If this range is not acceptable, please state requirements in your cover letter.

 

Primary Responsibilities:

- Billing under grants and contracts (monthly)

- Monitor compliance with government and foundation grants (on going)

- Assist with Accounts Payable recording, review and reconciliation (on going)

- Assist with Credit Card download, posting and reconciliation (on going)

- Assist with Bank Reconciliations (monthly)

- Special projects as needed

 

Billing: Prepare Invoices to bill under grants, contracts and reimbursement and to acknowledge and record contributions.

o Read and understand contracts and grants

o Understand and follow protocols 

o Prepare supporting documents and reporting as needed

o Understand revenue recognition requirements

o Follow-up on late payments

 

Grant: Ensure that grant recording in the General Ledger accurately reflects activity and program requirements.

o Assist with grant and contribution recording

o Assist with budgets for applications and reporting (on going)

o Monitor AP for accuracy of grant coding and changing allocations

 

Electronic Banking: Download and Upload banking information and ensure accuracy

o Assist with complex Accounts Payable recording

o Download from bank sites and upload to QuickBooks

o Collect missing receipts and information from staff

o Monitor Expenses for accuracy of grant coding and changing allocations

 

Qualifications: A successful candidate will have the following skills:

o Experience in Non Profit accounting

o Experience with invoicing and accounts receivable

o Ability to track budget expenses, analyze information, manage processes and develop standards

o Experience with accounts payable and complex allocations

o Experience with electronic data transfer

o Experience with QuickBooks Online

o BA in Accounting or Business Administration

o Excellent Excel skills, as well as Word and databases

o Experience with Federal Grants a plus

o Love of accuracy and detail work

o Ability to maintain a confidential work space during COVID-19 Work From Home period

o Understanding of payroll taxes and benefits; Experience with ADP Payroll

The Assistant Controller position will require a training period that includes in-person, in-office, but socially distant work. Following the training period, the Assistant Controller will primarily work-from-home as long as public health guidance deems this appropriate. However, occasional office visits will be needed to access records and correspondence. This is expected to be no more than 10% to 20% of time.
