OVERVIEW: Public Responsibility in Medicine and Research (PRIM&R), an educational nonprofit organization based in Boston and dedicated to advancing the highest ethical standards in the conduct of biomedical, social science, and behavioral research, seeks a full-time Conference Program Assistant. RESPONSIBILITIES: Reporting to the Conference Manager, the Conference Program Assistant plays a key role in supporting PRIM&R’s conferences team and the organization’s two annual conferences. Responsibilities include, but are not limited to:

  • Provide administrative support for the conference planning process (e.g., compile planning materials, work with conference planning committees, create/maintain online planning platform, etc.)
  • Manage conference speakers (e.g., create/maintain speaker portal, draft/send speaker correspondence (invitations, planning memos, etc.), manage invitation responses, answer questions, process registrations, etc.)
  • Lead production and maintenance of  conference agendas
  • Oversee and manage the conference Call for Session Proposal programs (e.g., draft web pages and submissions forms, manage/compile responses, etc.)
  • Create conference guide content
  • Work onsite at conferences
  • Act as a member of the organization’s customer service team (e.g., answer phones, process registrations, etc.)


QUALIFICATIONS: The successful candidate will have 1-2 years office and program planning/coordination experience; excellent communication and customer service skills (oral/written; in person and over the phone); strong attention to detail and accuracy; ability to multi-task in a fast-paced, deadline driven environment; ability to communicate effectively with diverse constituencies across the organization and externally; flexibility and ability to work independently and collaboratively; and proficiency with the MS Office Suite (Word, Excel, PowerPoint). PRIM&R is also looking for candidates who have the ability think innovatively about planning processes and implement new methods to accomplish responsibilities in a more effective way. Experience with non-profits, databases, and project planning software helpful, but not required. Qualified candidate must have the ability to travel overnight twice a year.
