Overview

Worker’s Justice Project (WJP)(www.workersjustice.org) was founded in 2010 to address the racial and economic injustices that low-wage immigrant workers face in New York City by building collective power to win institutional change. WJP, a fiscally sponsored project of TSNE (www.tsne.org), runs two long-standing worker’s centers in Brooklyn. We promote justice and opportunity for low-wage immigrant workers in New York City by pushing for systematic enforcement and expansion of workplace protections, which include labor and occupational health and safety standards while advocating for industry-specific efforts to improve working conditions. WJP also offers skills-building training to workers in health & safety and industry-specific areas, and we educate immigrant communities about their rights in the workplace and how to exercise those rights.



Responsibilities

The Operations Manager works from WJP‘s Worker Centers in Williamsburg and Sunset Park. The Operations Manager plays an integral role within the Worker’s Justice Project. Working closely with the Executive staff, this role ensures the smooth management and coordination of all organizational systems. The Operations Manager will not only work across divisions within the organization but with external partners, including our fiscal sponsor, vendors, and consultants.

The ideal candidate will not only align themselves with WJP’s vision and mission but will have administrative understanding of processes and will follow through to the last detail. The Operations Manager is a key thought partner in shaping WJP’s overall organizational development strategy and vision.

The work performed is deemed Essential. The Operations Manager is responsible for ensuring that activities are conducted professionally, in a culturally sensitive manner, and in alignment with the organizational mission. Compliance with WJP, NY state and NY city COVID-19 safety protocols and requirements is mandatory.

Essential Functions

Finance Management

  • Primary relationship manager and point of contact with all finance, audit and information technology vendors, contractors, and consultants.
  • Manage WJP credit card according to TSNEs policy and submit expense reports on time.
  • Obtain quotes from various vendors for pricing options and generate a list to be used as a resource for the future, as needed.
  • Ensure adequate reporting and filing.
  • Adequately track inventory and develop a purchasing system to ensure materials and supplies are in stock for office use, events, trainings, etc.
  • Manage, track, and audit equipment (computers, furniture, electronics, etc) for use, disposal, and return, ensuring alignment with city grants.
  • Conduct a cost analysis to ensure WJP is constantly using the most cost efficient vendors for their expenses.
  • Reconcile organizational credit card transactions, collect receipts, and coordinate payment processing.
  • Process bank deposits, scan and maintain accurate records of all donations; inform Development Director of check donations.

Operations and Procurement Management

  • Contribute to the development and implementation of organizational strategies, policies and practices (including Partnerships).
  • Develop and design, standard internal policies, processes, and procedures for WJP operations ensuring alignment with TSNE, fiscal sponsor.
  • Create and maintain a manual that stores the these internal, operational processes and procedures reviewing and updating it regularly.
  • Ensure upkeep and maintenance of equipment and facilities and serve as liaison with third party vendors for repairs and scheduled maintenance.
  • Manage the administration of consultant contracts, with input from directors making the request ensuring alignment with TSNE’s contractor requirements and working with the appropriate TSNE liaison(s).
  • Maintain vendor files, including W-9s, vendor contracts, payment requests and related documentation.
  • Procure, monitor, and manage all facilities and equipment contracts, leases and other agreements relating to safety, security, and orderly operation of the organization.
  • Tracks and manages compliance related to buildings, including but not limited to certificate of occupancy, building codes, signage, and postings.
  • Manage scheduling of use of facilities, conference rooms, etc.
  • Manages office supply purchasing, tracks inventory of office supplies and equipment.
  • Implement, evaluate, and maintain systems and structures for administration, governance, human resources, equity and inclusion, performance management, and accountability.
  • Regularly evaluate systems and policies and recommend improvements and efficiencies.
  • Work with Executive Director to engage in strategic planning and implementation planning.
  • Ensure documentation and organization of financial and administrative folders.

This is a full-time (37.5 hours/week); exempt position. The position will require working some early mornings, evenings, and/or weekends as needed and will travel periodically once COVID-19 restrictions are lifted.




Qualifications

  • Bachelor’s degree and at least 3 years of experience as an administrative assistant, office manager, or related position.
  • Knowledge of office management and financial systems and procedures;
  • Working knowledge of office equipment including printers and fax machines;
  • Proficiency in MS Office and GSuite (MS Excel and MS PowerPoint, in particular);
  • Excellent time management skills and the ability to prioritize work;
  • Attention to detail and problem solving skills;
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask in a fast-paced environment.
  • Desire to grow and excel in organizational management functions.
  • Exceptional organizational skills and attention to detail.
  • Interpersonal skills, comfortable liaising with a diverse array of people from across the globe, as well as an ability to work with diverse working styles.
  • Ability to work independently as well as closely with others.
  • Ability to multitask as well as prioritize urgent and important work in a fast-paced environment.
  • Ability to appropriately use and manage various office systems.
  • Comfortable learning new software and databases.
  • Dedication and ability to work a flexible schedule including early mornings, evenings, and/or weekends as needed.

Physical Demands/Work Environment

While performing the duties of this position, the employee is required to:

  • Able to commute between WJP locations regularly.
  • Able to commute using the NYC public transportation system.
  • Ability to work a flexible schedule including early mornings, evenings, and/or weekends as needed.
  • Able to work outdoors in inclement weather conditions, if needed;
  • Handle, or feel objects, tools or controls.
  • Reach; traverse; sit or stand (usually for longer periods of time); occasionally ascend/descend; and position self (to) move.
  • Lift and/or move up to 25 pounds.
  • The noise level in the work environment is usually moderate.
  • Job is not subject to significant occupational or environmental hazards.
  • Likelihood of personal injury would be relatively slight.
  • Environmental and work hazards are not present to a measurable degree.
  • Able to work in an open office space.

Regarding COVID-19: TSNE considers the health and safety of our employees of the utmost importance, and due to the ongoing COVID-19 pandemic, and subject to your state and local laws, our policy requires that all employees performing in-person work at a TSNE designated office are fully vaccinated. For the purpose of this policy, fully vaccinated indicates that you have received a single dose of the Janssen vaccine, or both doses of the Moderna or Pfizer vaccine. Certain exemptions may be requested and will be considered by Human Resources.

Compensation and Benefits

Location: Work will be primarily performed at the WJP Worker Centers located in Williamsburg, NY and Sunset Park, NY .

Compensation: The salary range for this position is $60,000 - $68,000/yr and is commensurate with experience.
