LiveOn NY seeks a part time, energetic and experienced Finance Associate to join our team. The ideal candidate is a skilled full-charge bookkeeper with A/P, A/R, payroll, QuickBooks, Excel and communication skills to support our Operations department. The Finance Associate will monitor all financial transactions and manage LiveOn’s day-to-day accounting activities. A Finance Associate at LiveOn can expect a friendly workplace and supportive colleagues, a relaxed work environment in midtown Manhattan, a high-impact job, great career training in the nonprofit space with the chance for professional growth, and the opportunity to help shape the future of seniors...

 Reports To

Director of Operations

 Responsibilities

  • Performs all bookkeeping functions in QuickBooks Desktop software, including:  
  • Manages the complete Accounts Payable and Accounts Receivable functions, including entering receipt and disbursement transactions into QuickBooks, printing checks, tracking and controlling A/P and A/R
  • Maintains the general ledger chart of accounts and classifications
  • Processes staff purchase and reimbursement requests
  • Records journal entries as needed
  • Reconciles credit card activity, bank statements, petty cash
  • Maintains electronic and paper financial records and supporting documentation (receipts, invoices, etc.), ensuring approvals
  • Budget prep and monitoring
  • Processes 1099 vendor forms annually
  • Manages the entire payroll process, including:
  • Collects new employee documentation for entry into the payroll system
  • Executes the biweekly payroll, ensuring proper coding and allocation of employee earnings, fringe benefits, PTO and employer liabilities
  • Records payroll costs and disbursements in QuickBooks
  • Liaises with the payroll vendor (Intuit) to ensure timely filing of quarterly and annual returns and forms
  • Reconciles quarterly payroll tax reports (941, NYS-45)
  • Processes W-2 employee forms annually
  • Coordinates Director of Operations in the following:
  • Creation of annual operating and program budgets
  • Loading budget data in QuickBooks
  • Monthly vouchering and expense reimbursement requests from grant funders
  • Preparation of financial reports and analyses
  • Gathering documentation and data for insurance forms, contracts, government administrators
  • Providing HR support, including: maintaining employee files, complete new hire paperwork, renewal of insurance and other employee benefits
  • Assists with the annual audit and 990 filings

Qualifications

  • Bachelor’s degree in Accounting, Finance, or Business Administration
  • 3-5 years experience as full-charge finance or staff accountant
  • Proficient with QuickBooks Desktop and Microsoft Office suite
  • Must have demonstrated payroll experience
  • Nonprofit experience desirable
  • Government vouchering/reporting experience a big plus

Salary

$35.00 per hour based on 15 hours weekly, 2 days weekly-days are flexible.
