POSITION OVERVIEW:

We are seeking an Executive Assistant to join the Avodah national staff and provide administrative support to the CEO. The Executive Assistant supports scheduling and logistics, manages email flow, serves as a liaison to the Board of Directors, is the primary point of contact for internal and external stakeholders, and oversees special projects. 


Location: NY preferred. Must be willing to work during the 9-6pm East Coast time, plus occasional evenings and weekends.

  • You have excellent interpersonal and communication skills, both verbal and written, with the ability to build relationships with a diverse set of people including staff, board members, external partners and donors. 
  • You are proactive at getting your work done and a creative problem solver. 
  • You have a high degree of professionalism and emotional maturity, with the ability to maintain confidential information with discretion. 
  • You know how to handle matters expeditiously, and can manage and follow through on projects to successful completion, often with deadline pressures. 
  • You have the ability to handle a large volume of work from various sources, prioritize and multitask, and proactively communicate about this. 
  • You are able to manage up in a respectful and productive way.  
  • You are calm, even in challenging or fast-paced situations.


OTHER QUALIFICATIONS:

  • Proficiency in Google Documents, Excel and Powerpoint, and quick learner of technology including Asana and Salesforce.
  • Available to work minimal evenings and weekends.
  • Ability to travel occasionally when it is safe to do so again.
  • Commitment to continuous learning and growth in the areas of diversity, equity, inclusion, antiracism, and social justice.
  • Commitment to listening and working with humility; ways of working that are respectful to all people; and that supports space and voice for all diverse perspectives in our workplace.
  • Understanding of, and interest in, Jewish community and social justice is a plus.

RESPONSIBILITIES INCLUDE:

  • Oversee the CEO’s scheduling and travel; coordinate meetings with internal and external stakeholders, provide relevant prep materials and appropriate follow-up. 
  • Work closely and effectively with the CEO to keep her well-informed of upcoming commitments and responsibilities, following up appropriately.   
  • Manage and prioritize CEO’s email; respond to as much as possible and help her manage and respond to email.
  • Provide support to the Board of Directors including communications, meeting prep, scheduling, agendas and materials, logistics, minutes, and maintaining the board website.
  • Responsible for coordination and logistics of board meetings, all-staff meetings, and annual staff retreat.
  • Communicate directly on behalf of the CEO with board members, donors, and other staff.
  • At the discretion of the CEO, provide a range of assistance, including calendar and scheduling support, to other senior staff.
  • Work on special projects for the CEO as assigned.
