Reporting to the Program Director, the incumbent helps administer and execute the programs and activities of the Office of Academic Affairs.
Program Administration: Working closely with the Program Director, manages school-wide and University-wide competitions and challenges, including the Dean's Public Policy Challenge Grant; duties include managing approximately 11 team budgets per year and advising student teams on the policies and procedures governing their participation. Assists in launching or modifying academic programs; responsibilities include conducting benchmarking research, interviews and data gathering, drafting background documents, and completing templates for University and NYS review. Manages applications and coordinates interviews for OAA-related fellowships, including the annual Cordier Fellows and Lemann Entrepreneurship Fellows programs.
Works closely with the Program Director on event coordination for the unit, including faculty meetings, receptions, luncheons and special events; assists with event management and related communication to participants for grant- and gift-funded programming initiatives. Works closely with and manages hourly staff on event-related functions including arranging catering, event venues and AV, preparing and disseminating confidential and other materials, overseeing RSVP lists, and conducting preparatory research as needed. Facilitates faculty involvement and OAA role in Admitted Students Day and SIPA Graduation, including faculty outreach to admitted students
Assists in the financial administration of the Office of Academic Affairs, with particular focus on tracking and reconciling multi-year grants and gifts, including funding from the Carnegie Corporation, the Nasdaq Educational Foundation, the Lemann Foundation and the Collaboratory Fellows Fund.
Oversees the unit's annual $70K budget and its travel and business expenditures.
Working closely with the Vice Dean and Associate Dean, administers aspects of junior level faculty reviews.
Oversees arrangements for junior level, full-time faculty searches; duties include providing materials to search committees and coordinating logistics for candidates' visits.
Manages the Dean's non-confidential correspondence relating to faculty reviews, searches and support, such as housing. Manages collection and conflict of interest compliance of full-time faculty information forms
Schedules and assists, as needed, with orientations for new full-time faculty
Working closely with the Curriculum Director and Program Director, selects, trains, assigns and supervises student workers for research and administrative support
Other: Conducts online research, data gathering and other special projects for the Associate Dean
Additional Position-Specific Minimum Qualifications: Demonstrated excellence in oral and written communications and strong organizational and problem-solving skills suited to a work environment that requires teamwork and collegiality; strong computer skills, including database and/or spreadsheet skills. Ability to work with sensitive/confidential materials and a high-profile client base using tact and discretion essential.
Preferred Qualifications: Experience in higher education setting desirable; knowledge about areas related to the mission of the Office of Academic Affairs a plus. Prior experience with event and program coordination highly preferred.
