 JOB SUMMARY

The Manager of Events has the primary responsibility for event booking, coordination, and production, in addition to online, digital, and technological aspects of events. The Manager of Events reports to the Director of Events and works collaboratively with all members of the Communications and Patron Services Division and other departments as needed. This position plays a key role in a wide range of programming, including public programs, membership and development events, and facility rentals. The Manager of Events is directly responsible for overseeing technical aspects of events in collaboration with the Systems Department. This position must be able to work effectively independently, and must also have the ability to make thoughtful decisions during the course of an event. This position also has a lead role in the development and design of programs and events. The Manager of Events is also primarily responsible for the Athenæum’s cultural celebrations.


RESPONSIBILITIES

  • In collaboration with the Director of Events, helps to assist and oversee events and programs development and production
  • Identifies speakers for event seasons and negotiates booking with publicists/representatives
  • Develops event programming/themes that corresponds to the Athenaeum’s member-base and content standards with Director of Education & Director of Events
  • Develops relationships and collaborates with other fellow cultural institutions, publicists, and publishers in the conceiving and planning of events
  • Assists with overall coordination and logistics for all Boston Athenæum events, including public programming, membership and development events, and director’s office events
  • Collaborates with staff across the BA, including curators, librarians, Membership and Patron Services staff, Development staff, and Information Technology staff, in event development
  • Ensures the highest level of customer service as a leading forward facing department in the organization
  • Directs cultural celebrations initiative
  • Facilitates reservations/transportation logistics with speakers
  • Manages reception staff in absence of the Director of Events
  • Helps with managing all internal catering needs for the organization
  • Assesses and coordinates audio/visual needs for all events with speakers and representatives
  • Works collaboratively with the System Technician during all events to ensure support of all guest lecturers and entertainers
  • Serves as liaison to Information Technology for audio/visual assistance for Education, Membership, Development, and Children’s Library events
  • Performs sound checks with speakers
  • Prepares PPTs for events/troubleshoot for technological incompatibilities
  • Coordinates book purchases with the BA Acquisitions Librarian and book sales with the Harvard Bookstore for book talks
  • Creates and maintains registration page for all events
  • Assists with receiving online and phone registrations
  • Maintains accurate records within database
  • Books and produces outside rental events, including site visits, client and vendor management, and staffing

QUALIFICATIONS & REQUIREMENTS

  •  Submit to and pass background check, including criminal history, personal references, employment verifications and Registry of Motor Vehicles (if applicable)
  • Bachelor’s Degree required with a preferred background in Information Technology, Information Science, Museum Studies, Non-Profit Management and/or Hospitality
  • Demonstrated interest in arts and culture sector preferred
  •  Ability to energetically assess and anticipate needs and be a flexible problem solver while maintaining a positive demeanor
  • Excellent communication, organizational, and multi-tasking skills
  • Ability to work both independently and in collaboration with others in a highly professional manner
  • Strong customer-service and interpersonal skills – must enjoy working with a variety of personalities in a changeable environment
  • Ability to work evenings and occasional weekends
  • Proven accuracy to detail
  • Ability to work independently
  • Proficiency with Microsoft Office suite; comfortable with learning new technology
  • Experience with Square or other point-of-sale system preferred
  • Experience with a constituent records management database such as Raiser’s Edge preferred but not required
