    JOB DESCRIPTION:

    We are seeking a Salesforce Administrator who embodies the values, principles, and priorities that guide our initiatives as we continue to make a lasting impact on the future. This mid-level Salesforce Administrator role will serve as the primary Salesforce expert and be responsible for the day-to-day maintenance, improvement, and support of the system. This position requires a good understanding of Salesforce in a nonprofit context and familiarity with Fonteva and Pardot integrations is preferred.

    While the position of Salesforce Administrator reports to the Associate Director, Membership & Data Management, you will work closely with staff throughout our organization. As such, this position requires the ability to clearly explain solutions and their potential impact in layman’s terms when managing support tickets, troubleshooting issues, deploying upgrades, and training users. The Salesforce Administrator will also possess the drive to improve functionality, increase data accuracy and manage regular system maintenance. This is a newly created position offering potential for growth as the organization continues to expand.

    CORE RESPONSIBILITIES:

    Database Maintenance (35%):

    • Improve and maintain the architecture of the system, its fields, objects, automations, validation rules, and any other features, with an eye on smart architectural choices and long term maintainability.
    • Troubleshoot and resolve Fonteva and Salesforce issues experienced by internal and external users.
    • Plan ahead for upgrades, seasonal releases and long term projects and oversee evaluation and installation of new Salesforce releases, as well as providing training and support.
    • Handle all basic administrative functions including user maintenance, modification of page layouts, list views, generation of reports and dashboards, creation of new fields and other routine tasks.
    • Ensure SSO is maintained between Salesforce and other integrated systems.
    • Perform database maintenance and data integrity tasks, including diagnostic tests and duplicate entry cleansing.

    Staff/User support (30%):

    • Manage user accounts, profiles, permission sets, and access.
    • Gather detailed staff requests for improvements or changes to the system, and implement these changes as appropriate.
    • Provide training and end-to-end user support.
    • Execute various deep-dive technical projects sometimes working collaboratively, sometimes autonomously – examples include data cleanup, managing a new third-party software integration or composing documentation.

    Administrative (20%):

    • Develop and maintain comprehensive process documentation, including user guides, recordings, training materials, and standard operating procedures (SOPs).
    • Maintain the sandbox environments to enable meaningful development and testing of customizations, automations and system upgrades.
    • Manage user accounts, Single Sign-On (SSO), and integrations.

    Data and system use updates (15%):

    • Perform mass updates for member subscriptions, renewals and community group records.
    • Automate processes using Salesforce tools such as process builder, flow automation, validation rules, etc.
    • Manage and update executive sales, membership, and service dashboards.
    • Maintain organizational data, adhering to best practices.
    • Create and maintain reports to ensure financial visibility.

    DESIRED SKILLS:

    • In-depth knowledge of Salesforce products, functionalities and best practices in a non profit context.
    • Strong understanding of the Salesforce platform, with the ability to build custom apps and objects, formula fields, processes, custom views, and other content of intermediate complexity preferred.
    • A demonstrated ability to understand and articulate complex processes to staff with varying levels of technical understanding.
    • Critical thinking skills to anticipate the impact of new requirements in Salesforce and other integrated systems.
    • Possesses drive and initiative to meet deadlines, handle and prioritize multiple simultaneous requests, manage laterally and upwards, all with a professional and courteous attitude.

    SUPERVISORY RESPONSIBILITIES:

    This position has no direct reports.

    TRAVEL & SCHEDULE:

    This position works 40 hours a week with little to no travel expectations.

    EDUCATION AND/OR EXPERIENCE:

    • Certified Salesforce Admin with 3+ years’ experience as a Salesforce Administrator.
    • Proficiency with Account Engagement (Pardot), AMS (Fonteva), Service and Data Loader.
    • Experience working in nonprofit organizations and understanding nonprofit business processes.
    • Familiarity with DevOps processes.
    • Extensive experience in the administration and maintenance of Salesforce systems.
    • Experience in performing Salesforce upgrades and ensuring successful integration.
    • Familiarity with providing Salesforce training and end-user support.
