POSITION SUMMARY:

The Administrative Manager is a full-time position as part of the Early Math Collaborative (the Collaborative). The Collaborative provides professional development for educators, conducts research, and disseminates information about early mathematics. The position focuses on the ongoing management of budgets, spending, human resources, events coordination, and communication within the Collaborative. The Administrative Manager reports to the Director.


PRINCIPAL DUTIES:

Manage and direct administrative functions in support of the Project Director regarding

  1. Management and oversight of all budgets
  2. Development of new project budgets
  3. Monitoring of all expenditures
  4. Management of staff allocations to cost centers
  5. Creation and/or submission of all other financial-related forms, including Expense Reports, Check Requests, Stipend Requests, & Supplemental Compensation Requests
  6. Coordination of these efforts with Collaborative management
  7. Coordination of these efforts with Erikson departments outside the Collaborative, including especially Accounting and Human Resources Departments

Manage internal functioning of the Collaborative:

  1. Maintain a Collaborative-wide calendar of events
  2. Assist with Collaborative-wide communications of announcements
  3. Controlling organization and maintenance of electronic files on the M: drive
  4. Running as-needed meetings of support and resource staff to address issues related to internal functioning
  5. Maintaining office environment/supplies
  6. Hold a Collaborative credit card

Control Collaborative event management processes (PD, conferences, seminars, trainings, lectures), working alongside section support staff who may be in charge of particular events, including:

  1. Communicate with Erikson departments on room set-up, deliveries, & IT support
  2. Reserving rooms and facilities
  3. Ordering catering
  4. Arranging and supervising student support around set-up and clean-up
  5. Handling check-in/registration

Provide Support to the Management Team, including the Director and Principal Investigator, including:

  1. Producing agendas and minutes for the Management Team Meetings
  2. Assisting with agendas and drafting minutes for the Content Team Meetings
  3. Assisting with the Strategic Planning process

Supervise part-time student and temporary workers as necessary

Perform other duties as assigned.


PREFERRED QUALIFICATIONS

  1. Bachelor’s degree or equivalent.
  2. Two years of related experience in an administrative/managerial role.
  3. Excellent written and oral communication skills
  4. Strong Excel spreadsheet skills and experience with budgeting and pivot tables
  5. Fluency with email, file sharing, Google, etc.
  6. Proficiency with Microsoft Office software: Word, PowerPoint
  7. Excellent organizational skills and ability to manage many tasks
  8. Dependability, punctuality, discretion, and initiative
  9. Ability to work as part of a team
