The Organization

Foundation for a College Education (FCE), located in East Palo Alto, California, is a nonprofit organization that offers a comprehensive college access and success program. The mission of FCE is to increase the number of students of color from East Palo Alto and similar communities who graduate from a four-year college or university.

Founded in 1995, FCE’s mission is to increase the number of students of color from East Palo Alto and similar communities who graduate from a four-year college or university. The vision of FCE is to create a community where higher education is attainable. By engaging both students and parents in our work, we aim to create a community of learners who are armed with the right tools and information. Our core values define the ways we help our students and their families empower themselves to reach their full potential. These core values also guide the way we work at FCE.

 

The Position

The Office Manager is a regular, part-time, non-exempt hourly employee. The position reports to the Executive Director.

The Office Manager is the first point of contact for students, families, board members, donors and others who visit FCE in person or via telephone or email. The Office Manager must be a warm, welcoming, and helpful resource to all.

In an organizational support capacity, the Office Manager is responsible on a daily basis for ensuring the smooth operation of the office and administrative functions, as well as providing administrative support to the Executive Director, Director of Programs, and the Board of Directors. The Office Manager is a member of the administrative team, which includes the Executive Director, Director of Programs, Director of Development, and Program Staff. The administrative team works together to provide high quality and timely support to the work of the organization.

 

Roles and Responsibilities

A.    Executive Assistance (45%)

·      Provide administrative support to Senior Staff and the Board of Directors

·      Support monthly Board of Director meetings, retreats, and orientation

·      Act as the point of contact among executive staff, employees, clients, board, and other external partners

·      Manage information flow in a timely and accurate manner

·      Manage executive director’s calendar and set up meetings

·      Make travel and accommodation arrangements for executive director

·      Format information for executive director’s communication – memos, emails, presentations, reports

 

B.    Office Coordination (45%)

  • Maintain organizational and space use calendars
  • Develop, implement, and maintain efficient office systems
  • Maintain office equipment
  • Support organizational functions and general meetings
  • Responsible for incoming and outgoing mail, shipping, and receiving

·      Screen and direct phone calls and distribute correspondence

  • Maintain appearance and functionality of common spaces
  • Manage office supplies and maintain storage areas
  • Support outsourced IT vendors: monitor staff needs, assist staff with problem solving, assist IT staff as requested
  • Support for Human Resources: interview schedule, applicant pool, resume files, orientation, etc.
  • Manage FCE organizational email and Dropbox accounts

 

C.    Special Events (10%)

·      Support donor appreciation, new donor, and special events

·      Support Senior Celebration, Achievement Reception, and program events

·      Support Board of Director special events

 

D.    Other Duties as Assigned

 

Qualifications

·      Proficiency in using Microsoft Office Suite

·      Excellent organizational and time-management skills 

·      Excellent attention to detail and follow-up skills

·      Excellent communication skills with demonstrated ability to speak and write clearly and persuasively

·      Ability to work in an inclusive, collaborative, small-office environment

·      Ability to maintain confidentiality

·      Willingness to assume additional duties as necessary and appropriate

 

Compensation

Salary is based on the 2019 Compensation & Benefits Survey from Fair Pay for Northern California Nonprofits, and is $24.00 per hour. The following benefits are included with the position: health insurance, vision coverage, dental coverage, disability insurance, life insurance; the cost to the employee is pro-rated based on the number of hours worked per week.  In addition, there is access to a flexible spending account (FSA),  13 paid holidays, and employees will earn at least one hour of sick leave for every 30 hours worked.
