Project Coordinator, Communications and Marketing

REPORTING TO: Chief Communications Officer 

Position Summary:

The Project Coordinator will support the day-to-day activities, projects, campaigns of the AFSP Communications & Marketing team. This role will be responsible for making sure that all work within the Communications department flows efficiently between function areas of writing, PR, social media, marketing, partnerships and production. This team member will be responsible for keeping everyone on task and projects on deadline, handling the logistics and keeping all parties updated on the progress through entire lifecycle of each project stream. Secondly, this role will support the project management needs of our newly formed partnerships area in similar capacity of supporting day-to-day flow and process of partnership engagement.

The ideal candidate will be detail-oriented, highly organized, methodical, efficient, passionate about working with people, and able to manage the flow of multiple project streams at one time. This is a critical role to the team and a person who should be an excellent communicator of concise, accurate, deadline-driven information. They should instinctively know when to push and when to let things simmer as they work to keep our department on track!

Responsibilities:

• Working with every level and function of the team to collaborate on plans, campaigns, partnerships and projects with patience, and excellent at managing stress and pressures of deadlines
• During our most busy times, this team member will need to be able to relay information back and forth, to track and disseminate information in real-time while keeping projects organized, on time 
• Firm understanding of the roles represented on a Communications & Marketing team and who to assign next steps in workflow of project demands
• Expert ability to digest and understand full scope of project, full comprehension and grasp of where to move a project within a team to ensure projects are delivered on time; copious note-taker in meetings and understands next steps to move every action forward to the right team member
• Process oriented with experience in developing a process to keep track of multiple projects at one time – from scheduling meetings to capturing next steps and improvements in efficiencies of time to delivery
• Meet with team members to learn about the status of existing projects, and details about new projects coming into our workstream, may include external agency relationships, partners and other departments within AFSP; Work with freelancers and others, when involved with projects of the team
• Create a schedule for new jobs, and assign those tasks using the trafficking system in place (this is usually done with software, and many tasks are automated)
• Review current and future timelines and job statuses with full team and with the individuals working on project tasks; reschedule projects based on new or changing priorities
• Work with senior leaders on the team on scheduling, invoicing, and partnership agreements (ie MOU, SOW, and other agreements)
• Manage the scheduling of team discussions with organization, and with partners externally

Requirements:

• Bachelor’s degree in the field of advertising, PR, marketing, or some other business-related field. 
• 2-3 years’ experience in agency traffic management or project management (may include internships)
• Highly curious, creative and motivated individual with ability to work in fast and dynamic work environment
• Ability to prioritize large numbers of projects at one time
• Strong interpersonal skills, including ability to listen to and interpret communications and marketing needs
• Competency or proficiency in Adobe Creative Suite, Microsoft Office 365, and Google Docs and Sheets
• Ability to work individually and as part of a team

Salary and Benefits:
