City Harvest is seeking a detail-oriented Supply Chain Coordinator who will be responsible for assisting the Supply Chain North America Team in many aspects of operations (logistics, allocation, procurement, and inventory controls). The main job functions will be to manage the logistics of over 150 truckloads per month of excess food and assist with the daily allocation of food from City Harvest’s facility to our network of partner agencies. Other responsibilities include assisting with food procurement, checking email, answering phones, and coordinating with external partners. The candidate will support the Supply Chain team in all administrative tasks, as needed.

This position reports to the Associate Director, Supply Chain, Procurement & Logistics, and would work remotely full time until office capacity restrictions are lifted. In-person presence is required on a weekly basis and a flexible remote work schedule will be available once City Harvest moves all operations to our new facility in Sunset Park West, Brooklyn expected at the end of summer 2021. 

 

Key Responsibilities: 

  

  • Logistics: Assist with scheduling of approximately 150 inbound truckloads of food per month. The candidate will be responsible for managing third-party logistics companies. These duties would include seeking out quotes, managing day-to-day logistics, and working with City Harvest warehouse to ensure the best results.
  • Allocation: Responsible for assisting the Allocation Manager in allocating food from the warehouse to our City Harvest network. The successful candidate will be trained on how to allocate inventory from City Harvest’s Microsoft Dynamics GP - Inventory Management System (IMS), run the allocation algorithm (IMS), manually allocate when needed, and use Microsoft Dynamics 365- Customer Relationship Management System (CRM)
  • Procurement: Assists with the procurement of 70% of total departmental pounds, including cost negotiations and program fulfillment. The candidate will play a pivotal role in day-to-day operations. Will be accountable for ensuring that specific departmental goals pertaining to food type are met
  • Administration: Responsible for data entry and reconciliation, including the creation and maintenance of donor accounts in the Customer Relationship Management software (CRM) and accurate entry into the Inventory Management System (IMS)

 Skills:

  • Excellent computer skills including Microsoft Office, Outlook 
  • Ability to multi-task under tight deadlines in a high paced environment
  • Ability to think/work independently, using good judgment when situations arise for when there is no established protocol
  • Ability to work in a team environment and communicate necessary information to team members in a remote work setting
  • Timely follow up and attention to detail
  • Previous experience in customer service, logistics, or administrative services
  • Excellent phone skills
  • Excellent customer service skill with experience handling difficult situations and producing agreeable results


 Qualifications:

  • 1-2 years experience in a relevant field.
  • Experience with financial reporting requirements for purchasing or logistics a plus.
  • Previous experience in customer service, logistics, or administrative services.

  • Detailed-oriented, highly organized, and enjoy coordinating activities.
  • Excellent time management skills with the ability to prioritize and make time-bound decisions.
