Job Overview:

The Operations Coordinator is purpose-driven and passionate about growing Fairtrade in the US. They are an enthusiastic professional who is organized, a great communicator, quick learner, and a self-starter. The role is responsible for supporting our Operations team in supporting and growing our network of Fairtrade brands. With this great diversity of projects and workstreams, the Operations Coordinator thrives on variety and loves collaborating within and across teams.

Reports To: Chief Operating Officer

Duties & Responsibilities:

Business Development and Operational Support -- approximately 40% of your time

  • Lead business development in categories such as cosmetics, body care, and jewelry.
  • Support business development on larger categories such as coffee, cotton, and cocoa.
  • Manage all inbound inquiries through phone, email, website, RangeMe, and other platforms.
  • Liaise with our Salesforce Consultant to optimize our Salesforce platform, input new leads into Salesforce, update data and pull reports to ensure timely and correct reporting.
  • Perform research into potential business leads, including review of business intelligence reports to prepare for upcoming meetings.
  • Support logistics and communications for trade shows and conferences, including onsite support as needed.

Client Support and Licensing -- approximately 40% of your time

  • Guide clients through the licensing process, including training on the use of our online database.
  • Support management of DocuSign and ensure all licensing contracts are processed correctly.
  • Process new product applications and manage licensee products in our online database by reviewing supply chain data and recipes.
  • Organize and lead team meetings, with special attention to pinpointing cross-team collaboration opportunities.
  • Preparing and maintaining licensing documentation (i.e., product certificates, proof of licenses).

Other duties -- approximately 20% of your time

  • Support team initiatives, special projects, cross-team collaborations and other activities that help our organization grow.
  • Manage resources to maximize return on investment, report goal status quarterly, and contribute to annual planning.
  • Contribute to data integrity, including progress updates in relevant databases and shared systems.
  • Connect with international colleagues in our global Fairtrade network in areas that complement your work and deepen your knowledge.
  • Other duties or responsibilities as assigned.

Basic Qualifications:

  • A minimum of seven (7) years’ relevant experience, or a bachelor's degree plus a minimum of three (3) years' relevant experience.
  • Demonstrated logistics management and organizational skills, with a proven ability to manage multiple competing priorities and keep track of many details.
  • Flexible, collaborative, creative team player able to quickly adjust work to resolve pressing issues.
  • Proficiency with Microsoft Office.

Preferred Qualifications:

  • Basic familiarity with Salesforce, SharePoint, marketing platforms like MailChimp and Pardot, and project management software like Trello.
  • Knowledge and commitment to Fairtrade and social justice issues.
  • Personal or professional international experience (such as working on global or internationally focused projects or living in countries outside of the US).
  • Willingness to travel up to 10% if needed. Note: Fairtrade America has currently suspended all travel.
  • Experience in data management.
